Administrative Assistant - Government Relations (Temporary)

Job description / Role

Objective: Administer the documentation process of Governmental Affairs works covering Passports, Labor and Immigration, and EID card; and ensure the documents are processed in time by closely coordinating with Officers (Governmental Affairs) work.

Main Responsibilities:
- Ensure that appropriate employment visas are issued for MAF Properties employees and their dependents. Keep track on the issuance of all type of visas such as employment, visit visas, and residence visas.
- Issuance of visit visa request of MAF employees outside UAE (Egypt, Lebanon, Syria).
- Prepare all documents pertaining to Ministry of Labor (visa, labor cards/contracts/cancellation/ EID) using MOL, DNRD, TASHEEL, Emirates Identity Authority systems.
- Ensure all timely renewals are done for the labor cards/contracts/residence visas.
- Prepare documents for Health Test/Medical and coordinate with PRO for necessary medical test for the newly joined employees and or renewals, using online payments.
- Administer Government Relations filling work and ensure that the documents are kept in an orderly matter.
- Maintain the confidentiality of all staff documents, employee information, papers under processing etc.
- Coordinating with Gov’t Relations PRO in order to complete any pending application
- Prepare the cancellation papers for leavers/absconders; coordinate with units for getting signatures/labor cards and passing to the PRO for cancellation. Follow up to ensure compliance with company policy.
- Attend all Arabic/English correspondences pertaining to Governmental relation work. Take up typing of other Arabic/English documentation i.e. Consulate letter, vehicle registration, other licenses etc.
- Keep continuous track of all work in progress with each PRO
- Prepare statement for monthly visa activity on a continuous basis.

Requirements

- Computer Literate.
- Minimum of 2 years of experience.
- Good English & Arabic language skills.
- Good communication skills.
- Good administrative skills.
- Preferable to have good Knowledge of UAE Labor Law.
