Arabic Executive Assistant to CEO

Job description / Role

Employment: Full Time

- Greet visitors and determine whether they should be given access to the CEO
- Answer customer inquiries/complaints and ensure appropriate action is taken by relevant personnel/departments
- Meet with individuals, special interest groups and others on behalf of the CEO
- Read and analyse incoming memos, submissions and reports in order to determine their significance and plan their distribution, translating Arabic –English –Arabic
- Manage and maintain CEO’s diary
- Make travel arrangements for the CEO including accommodation, drivers and visas
- Conduct searches to find required information, using such sources as the internet, using this information to create PowerPoint Presentations
- Prepare agendas and make necessary arrangements for the CEO’s meetings
- Prepare reports, memos, business correspondence, emails and other documents, using word processing, spreadsheet, database and/or presentation of software
- Prepare responses to correspondence, attending and minuting meetings – Arabic-English
- Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping in order to aid CEO
- Set up and maintain paper and electronic filing systems for records, correspondence and other material for both yourself and CEO
- Operate electronic mail systems and coordinate the flow of information both internally and with other organisations for both yourself and CEO
- Learn to operate new office technologies as they are developed and implemented
- Create and update detailed staff V-Cards for CEO
- Ensure that all new personnel are updated on all relevant documents/systems
- Ensure that all personnel leaving are removed from all relevant documents/systems
- General support to the CEO family and staff
- General support to CEO for personal

Requirements

- Degree Educated
- 5 years + experience preferably supporting to C Level
- Must be a Native English Speaker
- Advanced MS Office Skills
- Excellent Time Management and Organisational skills
- Can do attitude
- Lives and breathes being an Executive Assistant
