The Job Opportunity

Serco has been supporting the Australian Defence Force (ADF) in the Middle East under the existing MELABS contract since 2011. Serco will provide 21 service lines, including catering, waste disposal, facilities and ground maintenance, laundry, transport management, procurement and welfare services in support of ADF bases primarily in the United Arab Emirates. Serco is looking to hire a Base Operations Officer who will be responsible for all administrative tasks related to Base Operations department. This position is expected to administer base operations access to ADF buildings for maintenance carried out for base operations, process Base Ops monthly reports and process all Base Ops invoices and update CAFM.

Key accountabilities

- Consolidating PPM schedule and forward plan all access requirements and submit it to ADF.
- Preparation and print all Contract Activity Notices (CAN) as per the Maintenance Plan and ensure that the same is communicated to client prior the Inspection and \ maintenance work.
- Arranging for ADF Escorts on restricted areas.
- Liaising with relevant ADF authorities like BCP, ECP, CMC for gaining access for urgent and Planned works.
- Consolidate, share and publish the Base Operations Vehicle schedule.
- Facilitating Host Nation and ADF Passes application, Biometric Interview and after hours Register
- Compiling of Base Ops reports
- Administrative works like Ordering and issuing of materials and office stationery to Base Operations Personnel, ensure all CAFM data records are up to date and accurate, participate in the Health, Safety & Risk programs including risk assessment work activities etc.
- Receive invoices and supporting documents from Subcontractors and liaise with Base Ops relevant supervisors for validation.
- Providing support on SAP/ CAFM by uploading Work orders on SAP and updating financial data against the Work orders in CAFM.

Requirements

What we are looking for in our candidates:

- High School Diploma or Higher Secondary Education;
- A good knowledge of office systems and office administration;
- Knowledge of SAP and CAFM.
- An understanding of Planned Maintenance and Scheduling;
- Understanding of relevant policies and procedures.
- Ability to effectively prioritise and execute tasks
- Experience and understanding of dealing with customers, subcontractors

Specific requirements

- Minimum of 2 years administrative experience, ideally in a facilities management or building construction environment.
- Experience using CAFM and SAP systems is essential
