Job description / Role

Employment: Full Time

The Brand Coordinator is responsible for managing the inventory operations and accurately maintaining process on the system. He or she provides recommendation on ways to improve catalogue management and assortment planning and optimizing on the purchase budgets.

KEY ACCOUNTABILITIES:
- Handle stock replenishment and maintenance process communication to POS network as per the directives of the Brand Manager.
- Monitor the availability and flow of the approved model stock in each POS and generate forecasted reports as per the parameters devised by the Brand Manager.
- Ensure that proposals for replenishments of best sellers optimize turnover and profitability.
- Follow-up with suppliers and update the system on back-orders. Send special orders requests and follow up on deliveries with suppliers.
- Ensure that maintenance of prices (price markdowns, promotions in stores) is performed on the system in a timely and correct manner. Conduct self-checks to ensure accuracy.
- Ensure that public price list symmetry is followed as per the principal guidelines and is in-line with the mutually agreed currency exchange rate.
- Ensure process maintenance issues are immediately escalated to IT. Perform correct and timely re-entry in the system following detection of errors.
- Execute inter-location transfers in the system.
- Obtain product distribution advice from the Brand Manager and implement into system as product transfer entry (LTO).
- Perform entry of purchase orders of goods in the system. Identify reasons for invoice discrepancies in the system (price and quantity).
- Perform product profile integration into the oracle system i.e. GRN and other related oracle entries.
- Liaise with the Logistics Department for system entries and shipment handling steps i.e. tally the invoice with physical goods received.
- Liaise with the Logistics Department for the timely and accurate product movement as per the transfer entries.
- Coordinate with the Merchandising Department regarding watches delivery dates in order to arrange merchandising visit and ensure the correct/ timely display of new arrivals with the support of P.O.S team.
- Issue insurance claims for damage during delivery or defective items.
- Generate P.O.S retail discount reports as per the parameters devised by the Brand Manager
- Prepare reports on stock balance, recommendation for rotation and replenishments.
- Handle P.O.S requests for spare parts and accessories to facilitate customer requirements. Coordinate with internal departments to integrate the parts exchange system entries.
- In coordination with Finance, prepare Statement of Account for invoice payments and discrepancies, if any.
- Coordinate with Warehouse for the delivery and transfers of non valuable items i.e. catalogs, P.O.S.M and relevant merchandising materials.
- Generate various brand reports required by the Brand Manager for business requirements of different horizon and regular analysis.
- File and document brand related data entries i.e. invoices/ reports etc…
- Liaise with internal and external customers as recommended by the Brand Manager

Requirements

- Bachelor's Degree is a must
- 3 to 5 years Retail and Fashion Experience
