Your new role:

As the Receptionist & Office Administrator, this Is a key role for supporting the front desk clients aswell as supporting the back office function with ad hoc administration duties. This is a fast paced role with ad hoc administrative duties becoming available daily whilst maintaining a great customer service focus to incoming emails and calls on the front desk.

Professional greeting of clients and visitors, to the highest standards
• Answer telephone, screen and direct calls. Qualify all calls and announce the caller.
• Offering refreshments to all guests upon arrival and for meetings
• Receiving, organising, and responding to all incoming emails
• Keeping Reception area tidy and well organized
• Book meeting rooms for all internal and external meetings/conferences
• Liaising with the IT Team to ensure all electronic equipment is set up for a meeting
• Ensure all stationery needs are met and ready for each meeting
• Powerpoint Presentation editing and designing for internal marketing communication
• Creating and updating the organisational chart
• Helping with office functions such as BD days, Breakfast mornings and events set up
• Sending out the Anniversary and Birthday list to the Managers at the start of each month
• Printing out the assessment centre
• Keeping track of our stationery and ordering through HR for sign off
• Responsible for ordering and replenishing the pantry items such as milk, teas and coffee
• Responsible for ordering Party foods for our birthday celebrations
• Responsible for ordering the water for the office and getting sign off from HR
• Setting up the room for Group Assessments and interviews
• Responsible for sending out the Birthday and Anniversary list & creating frames/birthday cards for the events
• Responsible for ordering Party foods for our birthday celebrations
• Ad hoc duties Supporting the Managing Director and the HR and Marketing
• Replenishing Sanitiser and Dettol Sprays/ Cleaning Items
• Liaise with our Travel Agencies when travel booking is required (flights, hotel rooms, visas, transportation and insurance)
• Ensure budget needs are met by identifying the most cost-effective travel option
• Produce full itinerary for each employee before travel
• Track and report all travel arrangements in the database
• Booking Venues and negotiating rates for SLTs, Socials, and Hays Events (Christmas party and Year End)

Requirements

What you’ll need to succeed :

• Experience in a role where it was administrative heavy
• Attention to detail and able to work at a fast pace
• Excellent knowledge of English Language (written and spoken)
• High level of customer service skills, good telephone manner
• Great communication and listening skills
• Competent user of Word, Excel, Outlook and iCloud
