Our client, a leading international professional services firm is wishing to recruit a Marketing Assistant.

The successful candidate will be directly responsible for the delivery of high quality general administrative support as well as the provision of graphic design/creative services to the MENA MBD team (team) enabling it to continue to provide first-class MBD support to the business both locally in MENA and when required, internationally to other offices. Whilst the role will provide support to the team across all services and products provided by the department (including events, research, awards and directory submissions, reporting etc) it will be focused primarily on two main areas:

The provision of general administrative support with an emphasis on collating, managing and providing to the team when requested, MENA region information and content (MBD infrastructure) to use in pitch documents, credentials and marketing materials across all regional practice areas, sectors and geographies. 

Providing graphic design and creative services to produce high-end visually compelling pitches, credential statements and presentations (using PowerPoint (2010) and Adobe packages including InDesign, Photoshop and Illustrator), event invitations and ad-hoc internal communications when required.

Hours/shifts: 09h30 - 17h30 (but out of hours work can often be required to support the business).

Requirements

Responsibilities and Deliverables

MBD content and infrastructure management:
- Proactively gather the relevant information to ensure that all practice, sector and geography experience lists are kept up-to-date.
- Ensure approved experience descriptions are entered into the firm’s global CRM System as well as regional credentials documents, fee earner CVs (also held on the global CRM System) and populated across any other collateral where relevant and needed.
- Monitor the daily firm-wide new matter report to identify new matters opened by MENA fee earners and track those matters with the relevant fee earners until they are ready for use in external communications i.e. pitches.
- Maintain and update the MENA master documentation for external recognition, quotes and rankings information, in particular when new directory results are published.
- Ensure all MENA pitch opportunities are registered on relevant databases and locally in the MENA proposal spreadsheet.
- Maintain a record of training given to clients.
- Prepare and circulate the MENA Weekly BD Update of new pitches, client meetings, matters won etc which will involve liaison with regional PA's and extrapolating information from new matter reports.
- Act as the “go to” person for the policing and management of MENA mailing lists in the firm’s global CRM System so that department can be confident in the accuracy and quality of MENA contact data for communications purposes i.e. event invites, client bulletins etc. Graphic design and creative services:
- Act as the point person in MENA for the provision of services for the design and production (in line with brand guidelines) of internal and external fee earner presentations and pitches (in particular using

- PowerPoint (2010), including the use of infographics) and other marketing materials using Adobe InDesign, Photoshop or Illustrator) and ensuring product is delivered on time.
- Be able to prepare artwork/product to print ready status and be able to liaise with local print studios.
- Develop a good understanding of the firm’s brand guidelines and ensure these are adhered to in relation to content being produced in MENA. The firm does have a central design studio/resource that the successful candidate will be able to draw upon for guidance and branding requirements, but local turnaround times are such that this resource is required on site locally. Other areas of support: Pitching:
- Upon request, locate and provide information and content (e.g. relevant credentials, CVs etc) to support the team in the timely and accurate production of pitches and marketing documents. This will also involve requesting information from international offices. He/she will also support on mark-up amendments and formatting of pitch documents etc as required and where attention to detail will be key.
