Job description / Role

Employment: Full Time

To manage and operate the development and implementation of administrative systems and procedures to support the operational team within the Outsource Staffing Business Unit in coordination with site Supervisors, Admin Support, and Account Managers.

Responsibilities will include but not be limited to the following;
- Liaising with Corporate Services such as HR – regarding mobilisation of new joiners, arrival details, visa processing and renewals, passport release, NOC requests, employee induction’s.
- Regular reporting and analysis of new joiners, re-joiners, over-stayers, absconders, headcount, accommodation status update – (camp/room allocation), Uniform (update on orders placed, received and issued)
- Supporting Head of Department, and Account Managers on daily contractual operational requirements.
- Maintaining OS data base.
- Raising Operational Amendment forms and contract transfers with correct authorization
- Management of the administration team
- Interface with HR for OS staff requests in line with company policies & procedures
- Interface with Client Administration Teams.
- Assume the responsibility for Off Site meetings in the absence of the Operations Manager as and when required.
- Daily production of availability report
- Management of new account set up- admin
- Day to Day management of the internal CAF process
- Day to Day updating of Oracle
- Daily com cell management
- Daily client offering of available manpower

- Client Management Team (Manager, Operations, Duty Officer, Controllers, Resource Planners)
- TG Account Managers
- Operational Team (Coordinators, Team Leader, Assistant Supervisor, Supervisor, Senior Supervisor, Project Coordinator)
- Admin Team

Requirements

- 1 to 3 Years of Work Experience
- Good in spoken & written communication skills in the English language
- Graduate (12 3)
- Strong Reporting Skills
- Highly Computer Literate (Microsoft Excel, Word & Powerpoint)
- Good Team Management Skills
