Job Summary:

As Cluster Assistant Purchasing Manager you will be responsible for sourcing equipment, goods and services and managing vendors. The successful candidate will be able to perform strategic procurement activities across multiple categories for Aparthotel Adagio, Ibis Styles and soon to open Mercure Dubai Deira.

- Supervise the procurement department and follow the process.
- Ensure that the department works closely with the Cluster Executive Chef and the Cluster Food & Beverage Manager to purchase the highest quality products at the lowest prices
- Ensure that all purchase order requests are properly completed and approved
- Negotiate food prices, place required daily food orders and ensure prompt delivery
- Generate purchase orders on approval requisitions and obtain necessary authorization
- Obtain competitive price quotations and confirm purchase availabilities
- Provide the Cluster Director of Finance and Administration with a monthly summary of purchasing reports
- Coordinate capital project purchases with corporate purchasing and outside contractors
- Cultivate the sound supplier relationships
- Conduct regular quality control audits to ensure staff are performing their duties according to standard guidelines
- Conduct food supplier premise checks with the Chef and Hygiene Executive before registering the supplier as a vendor to ensure supplier compliance with Hazard Analysis Critical Control Point (HACCP) standards

Requirements

- Responsible for purchase of materials required by the company.
- Allocation of suppliers based on the vendor capacity, location, etc. and the company's requirements.
- To survey the market and update the knowledge about new products and suppliers available in the market.
- Provide information on choices of items available for purchase
- Any matter which may affect the interests of the hotel should be brought to the attention of the management.
- Compare quotations received and select the supplier who suits to the company's requirements.
- Ensure to place order with suppliers taking the lead time into consideration.
- Negotiate with supplier and evaluate the proposal when required.
- Ensure that the purchase order meets the criteria of quality, price, timeliness and reliability and also the standards of the company.
- Follow up with suppliers for efficient service and in case of late delivery of the materials ordered.
- Ensure closure of purchase record after delivery of items.
- Handle dispatches to other departments as required.
- Keep track of new legislation, Excise and customer rules that come into force from time to time.
- To handle day-to-day purchase activities and handle additional responsibilities as and when delegated by top management.
