Employment: Full Time

The commercial associate works closely with the commercial team and coordinates all requirements for sponsorships by coordinating the execution of contractual benefits. Work closely with the Sponsorship Account Manager and be responsible for building relationships with a number of key partners and their agencies alongside the sponsorship account manager. Expected to consistently provide excellent customer service to all commercial accounts, as well as represent client needs and goals within the organization to ensure quality. In addition, build relationships with clients to encourage new and repeat business opportunities. The position is also responsible for ensuring all required documents are created, managed and filed accordingly and work as a team with the Commercial, Marketing, Operations and Projects department to ensure a successful delivery of the event. The position will be required to assist with F&B and Hospitality during busy periods, experience in these industries is a plus.

- Coordinate execution of sponsorship benefits contracts (ticket orders, acknowledgement, on-site promotions, etc.) by communicating directly with sponsors and internal departments in liaison with the Sponsorship Manager to ensure a timely and effective delivery of rights and contractual benefits to sponsors and partners.
- Prepare presentations demonstrating the numerous advantages for Sponsors to invest in Flash events with a great emphasis on Return on Investments with the support of the sponsorship team.
- Draft sponsorship benefits contracts and finalize with sponsor with the support of the Sponsorship Manager and the Legal Counsel at Flash. Once partner is contracted, create matrix to ensure delivery of all benefits (sponsors, hospitality and F&B partners)
- Research corporate prospects via web and print articles.
- To identify and make effective contact with potential customers and partners within the business community and to create new business relationships and opportunities.
- Obtain and send sponsor signatures and process all sponsorship contracts and track all incoming payments from sponsors and other department payments when required.
- File paperwork; maintain office organization and other administrative duties as assigned.
- To establish excellent customer relationships and provide a high standard of service (both internal and external).
- Always thrive to maintain a great relation with existing partners.
- Think of new and ingenious ways to “sell” Flash to potential and existing clients.
- Develop attractive activation programmes for current and prospective sponsors and partners.
- Arrange meetings and site visits with clients prior to the events to ensure that all requirements are met.
- When required assist the F&B Manager in dealing with onsite governmental authorities to obtain required event permits
- When required work with the Hospitality manager when required in any hotel and travel related matter dealing with internal teams to prepare rooming list /flights and manage external suppliers
- Manage client’s expectations while providing the best service possible in the lead up to an event.
- Responsible for day-to-day communication with current sponsors and partners and coordinate all logistical planning and execution pre event.
- Responsible to work with sponsor/suppliers and deliver on all commercial onsite activations at the event venue.
- Prepare and collect information required to create post event reports detailing the ROI delivered to partners for each event
- Preparing pre and post event reports to share with the Sponsorship Manager and other senior staff at Flash

Requirements

- Ability to manage multiple tasks, organize priorities and meet deadlines.
- The ability to work their own initiative, effectively both as an individual and as part of a team.
- Excited by challenges and is motivated to find solutions to ills.
- Experience in major event planning/staging.
- Working in a matrix environment requires a strong communicator with excellent influencing, negotiation and relationship building skills.
- Strong oral and written communication skills (including the ability to draft understandable, clear and consistent documents on topics within the areas of responsibility).
- Excellent Knowledge of Word, Excel, Outlook, and PowerPoint
- Strong administrative skills and background.
- Ability to operate in a dynamic working environment, handling multiple tasks.
- Business relationship building skills.
- Ability to multi-task and to work under pressure, whilst maintaining attention to details and keep to deadlines.
- Ability to work efficiently under pressure in a busy and distracting environment.
- Strong creative input to support and maximize sponsorship activations at events.
- Proven ability to negotiate successfully with a wide range of individuals, particularly corporate sponsors.
- Strong contract management skills managing bottlenecks, supplier reporting, KPIs, etc.
- Will have a high degree of integrity and a high sense of personal and professional ethics.
- Knowledge of overall event delivery
- Ability to read and understand budgets.
- Ability to engender confidence of existing and potential clients and exercise good judgment in handling sensitive information.

Qualifications
- Degree in business, marketing, communications, hospitality from an internationally recognized university.
- Post degree is a plus.
- A minimum 2 to 3 year experience in a similar role.
- Strong analytical thinking, problem solving skills and communications skills (both written and oral) with attention to detail. Preferred Experience (To be filled for external use):
- Degree in Business with emphases on Marketing & Communications from an internationally recognized university, Post degree is a plus.
