Job description / Role

Employment: Full Time

Job Purpose: To undertake analysis and preparation of commercial scopes relating to all aviation services provided by the company. To select, negotiate and establish agreement with different vendors through tendering process. To manage the preparation of commercial proposals and tenders within deadlines and in accordance with company policy and strategy.

KEY ACCOUNTABILITIES:
- Contracts/Tenders Processing;
- Gathering all necessary information and supporting documents;
- Checking the rates, terms & conditions, modes of payment, etc.;
- Selecting, negotiating and establishing agreements with different vendors relating to fuel, ground handling, hotel accommodation, etc.
- Carry out cost analysis, and turn the raw cost into a final tender price;
- Increase the level of sales and close new business deals by coordinating requirements; developing and negotiating contracts; integrating contract requirements with business operations;
- Record fuel prices and process all fuel inquiries
- Provide fuel quotes/offers to customers for a potential and/or confirmed business
- Contact and negotiate with fuel vendors for competitive fuel supply
- Negotiate payment terms in accordance with the company’s requirements;
- Liaising with contracted or appointed suppliers/agents for current fuel prices and availability;
- Providing all fuel related information (i.e. fuel availability, NOTAM or any restrictions, flight movement etc.) to the customers/operators that may affect the operations.
- Maintaining and updating Fuel Suppliers Contact List;
- Assist the commercial manager and/or the team during supplier’s tender process;
- Assist the commercial manager and/or the team in providing bid to customers;
- Arranging all commercial documents for management’s approval prior to submission to client;
- Coordinate with accounts department for pre-payment

Requirements

- Educated to a degree level or equivalent;
- Experience in tendering process (preferably in aviation field)
- Knowledge of formula pricing (platts, government price, etc.) will be an advantage
- Bi-lingual, fluency in English is a must

Critical Knowledge, Skills and Abilities (KSAs):
- Effective verbal and written communication on all levels and both internally and externally;
- Ability to maintain good relationship with different fuel vendors in the market. - Strong Analytical & Decision Making Skills;
- Ability to work under pressure and within tight deadlines;
- Effective and proven negotiation skills;
- Proficiency in Microsoft Office suites i.e. MS Word, Excel, Outlook;
- Ability to work independently;
- A calm approach to problem solving and last minute changes;
