As a Document Controller you will assist the Legal Department by providing clerical and administrative support, particularly, ensuring accurate and updated tracking and maintenance of contracts and other documentations in the Legal Department. You will require the utmost confidentiality in all aspects of documentation, management, and colleague and company information.

• Provides general clerical and administrative support to the Legal Department; which includes typing correspondence, drafting of memos, scanning and filing, assisting in preparation of other reports.
• Responsible for making appointments, booking of meetings, meeting rooms for the Legal Department.
• Works closely with the Legal Contracts Administrator thus maintains proper records, manages contract executive process for non-procurement related contracts and maintains the list of Sales Department agreements.
• Drafts memo’s and transmittal sheets for agreements and other documentations both internal and external ensuring the necessary documents and records are updated and filed correctly.
• Covers the workload of the Legal Contracts Administrator during annual leave or sick leave.
• Drafting letters, e-mails and standard reports and presentations many of which will be based on standard templates.
• Any other admin work as required by the department.
• The position requires the utmost confidentiality in all aspects of documentation, management, and colleague and company information.

Requirements

• You should have minimum of higher Secondary or equivalent (BA or other higher education qualification would be added advantage)
• You should have at least one year work experience in administrative position
• Computer knowledge with good typing skills is mandatory (Proficient in Microsoft Word, Excel and Outlook is an added advantage)
• You should be responsible, have excellent time management and organizational skills
• Able to self-motivate and work independently, without supervision is what you should have
• You should have good communication skills (both written and spoken)
• Strong ethics and integrity, with excellent attention to detail work style within you
