Job description / Role

Employment: Full Time

Responsibilities:
• Organizing leadership meetings both on-site and off-site, which includes venue selection, preparation, contracting, and catering.
• Providing organizational and logistical support for medium to large-sized external client and practice area events, involving venue selection, logistics, client management, and other services. This extends to assisting in organizing global client events.
• Assisting in the logistical support for participation in major conferences and forums.
• Coordinating end-to-end major Social Committee events.
• Sharing best practices and information about providers and venues, as well as supporting the organization of events upon specific requests.
• Assisting in arranging logistics for global events in partnership with other planners and executive assistants.
• Negotiating costs and terms, ensuring consistent pricing across all functions, and securing the best offer on the market.
• Implementing Service Level Agreements internal and external events, focusing on delivering 5-star service and optimal budgeting.
• Managing all aspects of project budgets, including the approval process and risk controls. This also includes preparing pre-event and post-event costings.
• Maintaining data integrity within the event management database.
• Collaborating with senior stakeholders locally and globally.
• Controlling and coordinating providers/agencies during the preparatory stage and on-site.
• Regularly monitoring the market and analysing market trends and best practices.
• Occasionally serving as a backup Travel Coordinator for business travel matters.
• Performing other duties as assigned by the Line Manager.

Requirements

Qualifications:
• A background of more than 6 years in MICE with experience an international company and an in-house event coordinator role.
• Proven organizational skills demonstrated through a successful portfolio of executed events.
• Strong negotiation skills.
• Creative mindset with the ability to generate innovative ideas, think outside the box, and anticipate client needs.
• Diplomatic demeanor, maintaining composure under pressure, and a strong focus on customer satisfaction, particularly when dealing with demanding clients.
• Capability to work independently, take initiative, and make informed decisions.
• Positive attitude, coupled with a creative and proactive approach to problem-solving.
• Team player with the ability to inspire and collaborate effectively with other team members.
• Excellent communication and negotiation skills, enabling professional and confident interactions.
• Exceptional people management skills, demonstrating high levels of emotional intelligence.
