A research and development company is currently recruiting for an Executive Assistant. You will be directly reporting to the Financial Services Team

The Executive Assistants work closely with the consultants they support, helping to deliver a high quality service to clients during the administration of assignments and helping to promote and exploit business development opportunities. Our clients and candidates warrant a consistently high level of service and responsiveness. Inevitably, workloads can vary over time and between consultants.

The Executive Assistant provides high-level support to designated senior leaders within the Company's Leadership and Talent Consulting.

Primary responsibilities include but are not limited to:
- Maintain daily schedules including internal meetings, conference calls involving multiple time zones, setting video conferences, and client meetings.
- Coordinate travel schedules, both domestic and international, preparing a detailed itinerary prior to departure.
- Prepare and submit bi-monthly accurate expense reports for leaders and reconcile statements. Prepare and save bi-monthly timesheets in SAP for leaders, showing utilization time allocated to each engagement.
- Update business development database and prepare reports for review.
- Serve as a central point of contact for administrative inquiries.
- Draft PowerPoint presentations and other business documents.
- Represent the organization and leaders to internal and external parties as required.
- Assist with other duties such as file maintenance, photocopying, scanning, mailings, trouble shooting, and meeting planning.
- Handle calls for the senior leaders, working with other support staff to ensure phone coverage during breaks and other periods of absence.
- Support other colleagues when possible, providing timely answers to requests.
- Assist with office management duties as needed.

Requirements

- A bachelor’s degree is required; a Master’s degree is preferred.
- Minimum of five years of relevant work experience as an executive assistant supporting senior leaders in a business environment required, ideally in a professional services firm.
- Demonstrated track record of sound judgment and professionalism with the ability to work with senior level executives across multiple business lines and regions.
- High degree of interpersonal and professional savvy across varying levels of internal management, staff, clients, and associates.
- High level of business acumen; able to make timely decisions and drive to action.
- Strong analytical skills and ability to translate to operational processes.
- Must be able to work independently with little supervision, be detail-oriented, flexible in terms of hours/responsibilities, and able to organize and prioritize multiple deadlines.
- Excellent organizational capabilities, with high degree of prioritization.
- Excellent written and verbal communication skills; customer service focused with excellent phone etiquette.
- Excellent PowerPoint skills with proficiency in the Microsoft Office suite.
- Client management/service experience highly preferred.
- Experience in the talent management field a plus.
