Job description / Role

Employment: Full Time

Responsible for supporting high level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers and answering questions and requisitions.

- Maintains executive’s/manager’s calendar. Schedules meetings and conference rooms, prepares and sequences agenda’s establish time frames and assures that established schedules are maintained
- Reviews, highlights and prioritizes regular and electronic mail; compiles mails for executive’s review, redirects mail to appropriate staff members
- Prepares letters, memos and/reports of a confidential nature
- Coordinates travel arrangements for executive/managers that include: flight and hotel reservations
- Maintains and updates office records, directories, vacation or weekly meetings schedules
- Develop and implement reports, spreadsheets and assist in preparation of presentations
- Serve as the main contact when the executive/manager is out of the office
- Effectively relay and communicate information between different directors/executive committee members or any other senior managers and staff in the hospital
- Efficiently organize relevant internal as well as external meetings, ensuring that all concerned are informed in a timely manner
- Readily establish and manage a comprehensive and organized Diary System
- Courteously host all guests and patients with care and professionalism

Requirements

- Bachelor's Degree in Business Administration or a related field
- 3 years experience in a similar role
- High level of verbal and written communication skills
- Ability to build and maintain solid working relationships
- Excellent Microsoft Office experience
