Job description / Role

Employment: Full Time

ALJ International has an opening for a female Executive Assistant based in Dubai, UAE. The role is responsible for providing administrative support for a team of Executives and ensuring an effective, well-maintained and professional work environment.

The ideal candidate must have excellent communication and organizational skills and be able to work on their own initiative without direct supervision.

Primary Responsibilities will include:
- Responsible for scheduling and arranging travel, meetings and other appointments for the executives, ensuring there are no scheduling conflicts and making sure executive diaries are updated on a regular basis;
- Manages day-to-day operational and administrative duties and serves as a primary point of contact for the administrative needs of executives;
- Coordinates and prepares materials for meetings and presentations for external and internal meetings;
- Draft memos, letters, e-mails, documents and other responses as directed by executives;
- Manages the flow of information by screening phone calls, opening and sorting mail that is received before passing the information on to the executives they assist;
- Maintains Company records by setting up and managing both electronic and paper filing systems;
- Handles all duties with a high degree of integrity, professionalism and confidentiality.

Requirements

- Excellent communication, organization and administrative skills.
- Must have 8+ years of office experience in a secretarial / executive assistant role.
- Proficiency in MS Office
- Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines, able to multi-task;
- Experience in handling confidential information and maintaining confidentiality of sensitive information;

Education
- Secretarial Certificate /Certificate in Office Management with a minimum of High School Level education

Languages
- Excellent command of the English Language;
- Arabic and/or French will be an added advantage
