THIS IS A TEMPORARY ROLE PROVISIONALLY FOR 1-3 MONTHS - TO START NEXT WEEK.

INTRODUCTION.
I am the Chief Executive Officer of a successful group of Companies based in Ajman in the UAE and soon to be moving to Dubai. We operate B2B and B2C businesses, with our brand being one of the most recognized in the Industry. I am a British male boss who travels extensively, a perfectionist that demands excellence and I am looking for a top-notch Executive Assistant who can help me achieve my vision of building a world class business. I need someone who will take control and handle my daily tasks and manage the office so I can concentrate on building successful businesses while creating an amazing culture for our team.

PURPOSE OF THE JOB
You will provide professional, efficient and confidential executive administrative services to the CEO and up to 2 other VP level leaders. Duties will include administrative support, diary management and workload planning, travel management and office management.

RESPONSIBILITIES
• Provide administrative support including accurate and timely preparation of reports, presentations, memos and other documents for the CEO, which may be complex or technical in nature.
• Utilise appropriate tools to manage, plan and prioritize CEO’s workload. Maintains diary, arranges appointments and related travel, consulting as required. May require proactive scheduling to ensure conflicts are resolved and priorities are met.
• Coordinates meetings and events on behalf of the CEO including budget proposal and management, travel management, venue preparation, supporting administrative materials and greeting/providing support to attendees as required. These events may from time to time be held outside of the UAE.
• As required, completes accurate and timely reporting. Supports and researches relevant data and collates for analysis and interpretation. Prepares reports as required and may include recommendations for areas of improvement.
• Ensures ongoing compliance with defined Company processes and procedures, relevant legislation and external regulations, and predefined agreements including confidentiality and data protection, travel and entertainment. Ensures required approvals are sought throughout processes.
• Works closely with CEO’s team, other departments, external guests and the board to follow-up on actions and information required. Also includes contact with customers, administrative assistants of other functions, vendors or employees, on behalf of the CEO to submit requests or resolves queries.
• Ensures professional, assertive and diplomatic communication while building positive effective relationships with relevant stakeholders.

Salary:
AED 23,000 to 25,000 per month inclusive of fixed allowances.

Requirements

Qualification
Degree in Business or any other related field

Minimum Experience
8 - 10 years of overall experience in a senior administration level role. Must have experience in dealing with diverse and demanding senior stakeholders.

Skills
• Advanced level of English and Arabic communication, bot written and oral
• Experience in assisting at C-Suite level
• Advanced travel and diary management skills
• Cultural awareness and sensitivity dealing with diverse nationalities and diversity in general
• Advanced skills across MS Office Suite
