Job description / Role

Employment: Full Time

Executive Assistance
- Proactive diary management using Microsoft Outlook
- Handle all phone calls, fax, and mail addressed to the Managing Director
- Plan, prepare for and organize meetings with internal and external parties (attendees, arrange venue, circulate agenda, minutes, etc)
- Facilitate arrangements for business travel, transport and accommodation
- Collate and prepare presentations in PowerPoint & Excel

Department Administration
- Collect and disseminate information in a timely and accurate manner on behalf of the team, ensuring the highest levels of confidentiality
- Coordinate the submission of key documents to ensure timelines and deadlines are met
- File, manage, and archive all department communications and documents
- Minute taking and publication of meeting minutes
- Proactive development and maintenance of document templates such as letters, memos etc.
- Coordinate the translation of documents
- Process department purchase orders
- Coordinate department printing
- Coordinate department travel arrangements
- Process business expense claims for the department

Requirements

At least 3 years of Executive Assistant / Personal Assistant experience in a highly professional business environment (experience in financial services, professional services, legal, or banking industries preferred)

- Desire to deliver superior customer service
- Ability to multi-task with high degree of accuracy
- Demonstrated high level of professionalism and confidentiality
- Exceptional written and verbal communication skills in English and Arabic
- Excellent phone manners and interpersonal communication skills
- Desire to work in small team environment and make a real contribution to the team
- Ability to learn and accept standard operating procedures and compliance regulations
- Exceptional skills with Microsoft Office: Word, Excel, PowerPoint
- Proactive and organized
- Bachelor’s degree, preferred (not required)
