Employment: Full Time

The Executive Assistant is responsible for providing a high level of administrative and operational support to the Regional Director of this government office and the wider team.The Regional Director has a demanding schedule and a heavy workload and needs an Executive Assistant who is comfortable working in a fast paced work environment that demands not only excellent problem solving skills but also a high level of organizational as well as strong communication skills.

Essential functions of the role will be the coordination of external business affairs, including arranging appointments and all relevant paperwork and logistics, extensive calendar management and interacting with both internal and external executives and their relevant offices to coordinate a variety of meetings.

Drafting, editing and proofreading letters, emails and other documents will be part of the remit as well as establishing and maintaining a document management system to ensure ease of access at all times. The EA will also assist with event organisation on an ad hoc basis ranging from creating an invitation database to arranging whole events and all related elements.

Additionally, coordination of the weekly, monthly and quarterly reporting process including data manipulation of management information, follow up on action points and keeping all organisational organisational information up to date including intranet site.

Requirements

This role requires the incumbent to be decisive and thought provoking but to also accept collective responsibility for decisions taken, supporting a focus on contributing to the Government’s goals including growing an inclusive innovative economy for the benefit of all; improving skills, meeting obligations and protecting the environment as well as preparing reports and strategy papers for the Lead Team, the Board and Ministers, draft ministerial responses, briefing papers and responses to parliamentary questions.

We are looking for an individual who has extensive experience in a high level secretarial/administration support position with the ability to create and compile reports, presentations, expenses and draft letters with minimal supervision.

A good understanding of government processes and highly developed organisation skills with the ability to multi-task and work to tight and competing deadlines.
