Job description / Role

Employment: Full Time

Key Result Areas (Key Accountabilities)
• Follow up on all deliveries by contacting vendors and ensuring that materials are delivered on time. Prepare detailed reports showing accurate and current status of each Purchase Order.
• Mitigation and rescheduling of supplier delays/late deliveries and ensure justifications are reported to Procurement Team Lead and relevant staff are informed of potential and actual delays.
• Maintain accurate and up to date records in the Company’s Enterprise Resource Planning (ERP) system, Oracle, on the status of materials and equipment to ensure on time deliveries.
• Ensure vendor compliance of all Supply Contract requirements including inspection, shipping, packing, marking and delivery notification requirements.
• Monitor and review vendors manufacturing and fabrication schedules.
• Follow up on packing list, export documentation, commercial invoice and gate pass from vendors and forward to Logistics for collection.
• Coordinate with Logistics and COMPANY warehouse for receiving materials and issuance for project construction.
• Daily review of open and overdue Purchase Order reports to ensure that up to date information is reflected in Oracle and is able to be passed on to internal clients as required.
• Ensure Project Expediting reports specifically detail status and completion percentage of engineering, material status, fabrication, and sub-suppliers status per Purchase Order.
• Check sub-vendors progress and notify vendor of anticipated problems or delays.
• Check with vendors’ production department to verify manufacturing and fabrication has commenced as per vendor provided production and manufacture schedules.
• Assist vendors in resolving engineering, material acquisition, manufacturing and testing problems.
• Maintain updated electronic record of progress of each line item of each Supply Contract.
• Ensure vendor compliance of all Purchase Order requirements, including inspection, shipping, packing, marking and delivery notification requirements.
• Assist with other procurement tasks as directed by the Procurement Team Lead.

Requirements

Educational Qualifications:
• Relevant bachelor’s degree.

Experience Profile:
• 5+ years’ experience of expediting working practices and procedures in the oil and gas or construction sectors.
• Previous expediting experience, must be able to demonstrate an ability to communicate and influence Vendors and work with Procurement team.
• Proficient administrator with suitable previous experience to demonstrate an ability to manage a busy Procurement section.

Competencies/Skills/Others:
• A good understanding of Incoterms and COMPANY obligation under same.
• Highly focused on accuracy, attention to detail and timely delivery.
• Proactive and action-oriented, with high initiative level and drive.
• Strong English communication skills both verbally and written.
• Assertiveness in communicating with vendors.
• Excellent interpersonal and organisation skills.
• Proficiency in Microsoft Office suites; Word, Excel, PowerPoint and Outlook.
