The Role

The Chief of Staff will help organize and prioritize the Chairperson’s overall agenda to optimize timing and impact - including assisting in preparation and timely follow-up with various Boards, Committees and Stakeholders. She will serve as the liaison on communications and ensure accurate, confidential, and timely flow of information to and from the Chairperson.

Potential candidates would need to have: high emotional intelligence, resilience, dynamism, strong work ethic, a passion for excellence, maturity, utmost integrity, self-motivation, solid interpersonal skills.

Self-starter capable of working with minimal oversight, collaborating with senior executives, and she will facilitate the process of prioritizing, communicating and managing projects and ensuring timely planning and execution of priorities. Supporting the Chiarman vis-à-vis all her pillars of engagement, of a professional, personal and philanthropic nature, and the needs of her public and private persona.

Also responsible for database management, for ensuring that a system is developed to track the correspondence and messages to people she knows, including follow-ups and thank-you notes, seasons’ greetings.

Monthly reports are prepared on time for the Management Executive Committee meetings. This part of the role will include ensuring that minutes of various committees are completed quickly, that they are tracked and followed through and that regular briefings are made to the Chairperson to ensure follow-up instructions are received and tasks delegated.

In addition, the Chairperson has a teleconference on weekly matters with the CEO, and the role of the COS is to ensure that all scheduling clashes are resolved and that the Chairperson has had an opportunity to assimilate the key messages and comments to be highlighted. The Chairperson may have special projects/business development ideas; the task of the COS is to have them written into credible briefs.

Requirements

The COS will need to be extremely discrete (to the point of it being a legal and contractual requirement)

3-5 years as a Business Analyst, Consultant or Project Management/Operations

Strong information gathering capability

Confident negotiation and diplomacy skills

Highly motivated and organized

Pays great attention to detail

Ability to engender trust among internal stakeholders and to work effectively with them - demonstrates strong integrity and sound judgment, including ability to exercise appropriate discretion when dealing with confidential issues

High energy with an ability to exercise initiative - entrepreneurial mindset

End product orientation; gets things done both individually and through others

Believes in and is motivated by making a difference
