Job description / Role

Employment: Full Time

My client is a leading international organization that specializes in the development and creation of advanced skincare technology, headquartered in Ireland, they have offices in Belgium and Dubai, UAE. In addition, they maintain a distribution network that spans four continents and over 30 countries.

As Finance Manager, your role is pivotal in ensuring the smooth financial operation and functioning of the Group.

Key responsibilities include:

Financial Operations:
• Oversee and manage receivables and payables for all entities within the Group, liaising with vendors to reduce outstandings in accounts receivable and suppliers to facilitate timely payments.
• Collate and prepare weekly/monthly payment runs in close coordination with the CFO.
• Execute local UAE payments subject to all necessary banking approvals.
• Perform data entry in the Xero platform and liaise with outsourced accounting service providers for bookkeeping and statutory reports.
• Periodically reconcile Xero data with the inventory management system (DEAR).

Reporting and Coordination:
• Coordinate weekly and monthly reporting to maintain accounting accuracy.
• Maintain accurate statements of accounts for trading counterparties.
• Work closely with the Operations function, including the Supply Chain Manager in Dubai and Production staff in Spain, to ensure smooth, timely operations and payments.

Administration
• Manage local petty cash.
• Oversee IT system access control and SharePoint filings in compliance with QMS procedures, provided by outsourced IT services providers and under the supervision of the CFO.
• Handle various administrative tasks, including managing expenses, arranging couriers, leave tracking, license renewals, insurance requirements, travel, hotel bookings.
• Notify the Group for holiday or special announcements.
• Support ad hoc requests related to the Group operations under the instruction of the CEO, COO and CFO, especially considering the company's rapid growth.

Key Performance Indicators (KPI)

Accounting:
• Deliver accurate finance and accounting reports (order bookings, receivables, payables) on time.

Administration:
• Support management by being organized, deadline-driven, and adhering to stated schedules.
• Efficient processing of order and delivery tracking and management.
• Effective customer communication and feedback.
• Proper management of IT system access control and SharePoint filings in compliance with QMS procedure.

Requirements

• University-level education with a formal accounting qualification.
• 5-7 years of work experience in accounting and administration.
• Familiarity with Microsoft Office products (Excel, Word, PowerPoint, Teams) is essential.
• Previous experience in using Xero would be highly beneficial, and previous experience in DEAR inventory management system would be an advantage.
• Proficient in accurate data processing and familiar with bookkeeping formalities.
• Strong communicator with excellent interpersonal skills.
• A team player with a positive attitude towards learning and overcoming challenges.
• Comfortable to operate within a dynamic, entrepreneurial growth company business environment
