Job description / Role

Employment: Full Time

A reputable Automotive company is currently recruiting for a General Services Coordinator. You will be directly reporting to the Head of HR

MAIN GOALS AND OBJECTIVES
- To ensure the mobility scheme of the company is run in the best possible manner and proper control mechanisms are in place for ordering new vehicles/return of vehicles/maintaining proper records for Salik, traffic fines and damages for employee deductions

MAIN RESPONSBILITIES
- Entire management and coordination of the company in the ME and preferred supplier mobility, a fleet of over 220 vehicles.
- Liaise with Employees/Preferred Supplier for car lease new order/return vehicles
- Discussing vehicle availability/ Confirming orders to dealers
- Responsible for registering/de-registration and handover/return of vehicles
- Liaise with Training Centre Technician/Coordinator on scheduling of de-fleeting cars, handover to staff/returns
- Maintaining a vehicle master database with all information on each car, filing all documents per vehicle
- Maintaining traffic fine/Salik account, ensuring smooth run of everyday business, regularly informing traffic authorities about changes on the company file
- Preparing Salik report, mobility deduction report monthly to Accounts and HR
- First point of contact to suppliers regarding car accidents, traffic fines and first point of contract to company’s M.E. employee regarding everything fleet related
- Preparing lease agreements for preferred suppliers
- Issuing LPOs for car repairs to suppliers, monitoring/reporting/allocating repair costs, approving repairs
- Requesting insurance issuance and insurance cancellation towards insurer, receiving invoices, registering invoices and credit notes, approving invoices and credit notes
- Participating in annual insurance renewal tender
- Discussing/negotiating premium/claims with insurer
- Scheduling repair works, vehicle preparations for internal workshop with the Technician.
- Booking press/marketing pool vehicles for journalists, events, replacements, trainings, etc…, ensuring smooth flow of marketing/PR pool running
- Working on constant process for improving car pool management

Requirements

- European National
- Preferable experience in same role
- Familiarity with UAE rules and regulations for RTA proceedings i.e.; car registrations etc.
- Strong Excel skills and monthly reporting experience
- Tertiary Education degree certificate (required)
- 3+ years’ experience
- Graduate of Business Studies.

Key Personal Skill Requirements:
- Minimum 1 years group experience or in similar fields.
- Fleet Management/Purchasing Coordinator Work experience
- Good personable skills and able to work with diverse teams
- Able to multi-task and work under pressure
- Shows commitment and dedication
- Fluency in English (written and spoken).
