Job description / Role

Employment: Full Time

An investment company based in Dubai is seeking to recruit a full-time Hospitality Coordinator for one of its new ventures. The business is a luxury short-term property letting company, who will rent out apartments and villas in the Dubai region in the most exclusive areas of Dubai; DIFC, Marina and The Palm, Jumeirah. The company will be focusing to attract both business and leisure visitors to Dubai, and it will be seeking to attract people from various nationalities across the Globe. The company currently has an inventory of 7 properties; however it is looking to expand portfolio over the next 2 years.

As a hospitality coordinator, one will be expected to be the face of this new, exciting and luxurious letting brand, and the company would expect the employee to perform a number of activities seen in the below extract. Primarily, one will be focused upon managing the booking of the villas and apartments, ensuring the schedule of the maids and the drivers, as well as ensuring that the process from collecting the guest until driving them back to the airport is as smooth as possible.

As the employee will be the face of the brand, the company will also be expecting employee to complete some marketing of the property as well as ensuring that company’s messaging is consistent to all 3rd parties and across all marketing channels.

Business Development & Relationship Management
- Ensure that all of the adverts across booking platforms are all aligned and in sync. Most probably these will be: expedia.com/booking.com/tripadvisor.com
- Ensure that the booking calendar is kept up to date
- Ensure that all of the properties amenity items are safely delivered
- Ensure that the welcome pack items are delivered on time, and that the printed welcome pack is available.
- Manage the arrival of flight times of the guests, and ensure that the driver can collect and drop-off the guests
- Manage the Maid team and ensure that they are able to be cleaning the DIFC and the Marina apartments at an appropriate time
- Ensure that all deposits are delivered back to the guest on time
- Manage the booking of trips, and ensure that the DMC is available at that time
- Manage the payments
- Manage the website
- Ensure that all documents for DTCM are on the booking system; passports etc.

Business Processes
- Ensure to have the correct processes in place to manage the bookings appropriately
- Ensure the maids and the drivers schedules are aligned with the guests

Supply Chain and Customer Service
- Ensure that the team: maids, drivers, and DMC’s are aligned with the company’s missions, and that the company is providing the best possible service to the clients
- Ensure that the apartments and the villas are presented to a very high standard

Public and Media Relations
- Identify, organize and participate in promotional activities
- Attend forums to create leads for the business
- Understand the holiday market in Dubai, and ensure that company is in line with any new laws and regulations

Requirements

- A history of managing holiday properties
- Experience of managing more than 7 properties
- Knowledge of the channel partners such as: booking.com etc
- Experience of working with wealthy individuals, and understanding their needs when it comes to vacations
- A full driving license
- Preferably bi-lingual and willing to converse with guests in more than one language
