Job description / Role

Employment: Full Time

- Coordinate with the Property Team, HR Team and Dubai Airport Security Team in processing applications for airport passes
- Support the Government Liaison Team in various administrative tasks and assist in the translation of Arabic documents as required
- Review the accuracy of all documents received and follow-up on any irregularities or missing information
- Ensure that documents submitted are compliant with the requirements of Dubai Airport Authorities
- Process all applications online via the Administration Airport Pass Portal of the Dubai Airports Authority
- Reply to all queries posted on the online portal by the Airport Security Team
- Distribute the Airport Pass Policy to all pass holders and ensure they are made aware of all the terms and conditions
- Responsible to communicate to Line Manager on the status of airport passes e.g. Passes Expiring, Passes Applied, Passes Rejected and Passes Approved online.
- Maintain and update the Master Tracker on a daily basis, ensuring all information is accurately recorded and up-to-date
- Ensure that all issued passes are collected from resigned employees and contractors that have completed the work on-site. All passes must be are returned to the Airport Security Team for cancellation
- Prepare acknowledgment letters for the contractors and employees to be signed at the time of issuing passes
- Handle the passport release requests, ensuring the internal guidelines are adhered to and facilitate the timely release of passports, ensuring the tracking sheet is well maintained
- Assist with monitoring passports and advising employees in advance of expiring documents
- Controlling the reconciliation of passports on hand with the tracker sheet
- Any ad-hoc tasks that are assigned to you by your Line Manager or HR Team

Requirements

- Computer literate (good in excel and power point)
- Clear communication skills
- Able to work as part of a team
- Arabic and English language skills
