Employment: Full Time

Institutional Excellence Coordinator will support the four key functions of Organizational Excellence at JU:
- Quality Management;
- Internal Audit, Program Review and Compliance;
- Process Improvement and
- Business/Service Excellence. The role will support the Director in promoting excellence in the corporate, student service and academic operations at JU. The key responsibility is to provide a direct consultative approach, establish practices and facilitate evaluation for improvement of the operational systems at JU.

Key Responsibilities:
- Advises academic and non-academic leaders on requirements and measures for the planning and implementation of the QMS Model at JU.
- Maintains the risk profile for the University by preparing an annual risk register.
- Conducts periodic self-assessments of the QMS Model to determine compliance with established framework measures by performing gap analyses to drive corrective actions and continuous improvement efforts and prepares reports on same.
- Collaborates with institutional leaders and Unit team members to disseminate results from QMS self-assessments to enable capacity building for organizational planning and enhancements.
- Coordinates the development and review of quality manuals with associated policies, operating procedures, work instructions and instruments for administering the QMS.
- Schedules and coordinates internal audits, trains internal audit teams and prepares internal audit reports across operational areas and determines non-compliance and non-conformities with operating policies and processes.
- Coordinates the identification, analysis and mitigation of any risks identified from the audit process.
- Working with colleagues in the PIEU, supports the risk management process during operational performance assessment and academic programs.
- Works with operational leaders to ensure that corrective actions are effectively managed through quality improvement action plans.
- Assists the Director in conducting compliance reviews against MOHESR licensure and accreditation standards and criteria.
- Coordinates the academic program review cycle across the University.
- Develops and monitors process mapping plans with all units, departments and offices.
- Trains operational staff in process mapping and improvement methods.
- Works with the IT Unit teams to automate operational processes for efficiencies.
- Designs and administers business and service excellence models and processes for operational effectiveness.
- Establishes service excellence standards/KPIs for JU and ensures that service level agreements are established for operational areas.
- Analyzes performance data against agreed KPIs in corporate and student service entities to track customer satisfaction results.
- Benchmarks JU business and student service operations with best-in-class business and service excellence practices in the UAE and MENA region.
- Analyzes operational processes and established systems and people change management plans to ensure business and service excellence.
- Executes activities when allocated within one of the University Taskforce Teams or special assignment.
- Participates in the PIEUs learning events and shares knowledge with colleagues within and outside the Unit in accordance with JU policies and practices.

Requirements

- Bachelor's degree in business administration, management, organizational leadership or related discipline from an accredited university with appropriate professional certifications in quality/operations management or organizational excellence would be an asset.
- Minimum of 3 years professional experience in business process improvement, quality assurance and/or change management.
- Strong organization skills with ability to multi-task.
- Excellent communication skills in English as evidenced by experience in workshop delivery.
- Proficiency in Arabic would be a distinct advantage.
- Particular expertise in planning and conducting quality audits and process improvement activities in reputable medium/large organizations; experience working in higher education establishments a distinct benefit especially having led operational excellence projects.
- Familiarity with business and service excellence in learner-centred operations; university governance systems; policies and processes in educational contexts; EFQM Excellence model and/or ISO 9001:2008; licensure and accreditation compliances; process mapping and automations; change management.
- Technical report writing and MS Office (Word, Excel, Powerpoint, Visio and Project software) skills at intermediary level.
- Strong planning, negotiating and project management skills are required.
