Employment: Full Time

Our client a Dubai government organisation are seeking an Office Manager to manage their Marketing office, only candidates with an interest in Marketing will be considered for this role.

Purpose of the role will be to provide efficient office support to the Function Head and the team through management of all of the administrative activities of the section and act as a focal point of contact and provide advice on all activities in order to facilitate the smooth, efficient running of the Department.

- Provide secretarial support to the section head in all daily requirements that include filtering phone calls, prioritizing emails, diary management, scheduling appointments or meetings, travel arrangements, other general correspondence etc in order to provide assistance to the CEO and section head activities.
- Assist CEO and the section head in all budget planning activities related to the department and monitor monthly expenditures to ensure efficient use of budget allocations and assets, employment of cost-saving and environmental/energy friendly methods and products
- Act as a focal point for document management to ensure that all department documents are archived accurately for ease of access and retrieval for reference.
- Provide inputs to department processes and procedures and support their effective implementation as per corporate standards and guidelines to enable the department meet its overall objectives.
- Coordinate and attend meetings (such as Management Committee, Inter department meetings etc) conference, training as requested and represent the section head and communicate/follow up on plans to ensure timely implementation of action goals.
- Act as a first point of contact for VIP visits and provide assistance through coordination with travel arrangements (such as travel bookings, hired driver, entertainment, etc) as per company protocol to ensure that visitors/clients have an excellent visitor experience for increased customer satisfaction and the fulfilment of departmental goals.
- Consolidate and summarize miscellaneous reports and documents and prepare background documents as necessary for CEO review and decision making.
- Coordinate with Information Office and Procurement on the maintenance of all office equipment and coordinate with procurement department for procurement requests and approvals in a timely manner.
- Handle all internal and external correspondences for the function Head to ensure follow up and dispatch of the same.
- Takes and transcribe dictation, type internal correspondences, memos, reports with inputs from the respective team members, and compose and prepare confidential correspondence, reports and other complex documents to assist the function Head in managing correspondences.
- Acts as the function Head’s office monitoring unit & follow up the progress of all projects assigned by the Head of function and report them back to ensure that projects are on track.

Requirements

- Candidate must have experience in an Administration/support/Office manager role, strong presentation skills and a keen interest in Marketing.
