Job description / Role

Employment: Full Time

This role will support the firm’s L&D/Training team to deliver exceptional client service to the whole business.

The Administrator will be responsible for arranging and coordinating training, managing all training documents and records and helping to manage the overall relationship between HR (L&D) and the business. They will help to work towards the team’s overarching objective of raising the profile and perception, quality and accessibility of training within the firm, in order to achieve the firm’s vision of ‘leadership through professional excellence’.

Main responsibilities will include:

- Managing and coordinating the induction process for new joiners including setting up initial meetings, sending out correspondence, setting up online and subject matter expert training, following up with new starters and managing the new joiner induction tracker.
- Administering the internal systems and processes training for new joiners and refresher training for existing employees.
- Managing training schedules and timetables, communicating these as appropriate.
- Dealing with all logistics for training seminars, workshops, learning cafés and programmes – booking rooms, sending invitations, reminders, attendance lists, feedback forms, liaising with Reception, IT and travel desk to organise F&B, IT A/V and travel arrangements.
- Maintaining training records (attendance lists, schedules, feedback, records and reporting) and preparing/ disseminating materials (PP slides, handouts, feedback forms). Preparing feedback reports and dealing with post-training follow up, for all internal training
- Managing the CLPD cycle including maintaining training records, tracking progress, preparing updates for HODs and partners, preparing feedback reports and reporting to the Government of Dubai, trainers and attendees
- Assisting with the development of training workshops and programmes and the production and review of training materials
- Managing and administering the Open Talk process, generating reports and updates for HODs, partners and business heads and scheduling training awareness sessions, assisting in the review and analysis of objectives for all staff
- Coordinating training needs analysis sessions with the business, assisting with the collection and assimilation of TNA feedback and actions
- Organising quarterly meetings with the managing partner for new fee earners, and the COO for new business services employees.
- Administering the intern summer programme including organising and coordinating the training schedule, preparation of certificates and coordinating exit interviews.
- Helping to organise insight days for local schools and universities
- Maintaining and reviewing the L&D intranet page, adding new content, and communicating this to the business.
- Involved with initiatives to raise the profile of the L&D function, writing and collecting from others materials for Tamimi News, sending out regular updates
- Ensuring that any petty cash is administered correctly, invoices are paid, proper records are kept and all parties are kept up to date.
- Looking after L&D related licences and ensuring these are renewed on time.
- Acting as point of contact, communicating with attendees, the business, external trainers and vendors.

Technical Qualities:

- Strong project management skills
- L&D administrator background
- High level ability with Microsoft Office (Word, Excel, PowerPoint).
- Familiarity with LMS systems

Ideal Experience (an advantage but not mandatory):

- Practical working knowledge of back-end IT coding for LMS/Intranet systems.
- Experience with development of elearning courses (IT coding).
