Purpose And Objectives

Management Support (Senior) Specialist is responsible for the overall operation of daily office functions and duties, providing active and autonomous administrative support to the Head of Digital Core Sales, EMEA SOUTH. Performs controlling and reporting activities and collaborates with other departments in projects more independently.

Expectations And Tasks

- Manage diary/calendar and e-mails for the Executive on his behalf
- Monitor actions and manage reminders
- Manage internal and potentially external correspondence
- Organize and support meetings, conference calls, video conferences with Internal & External Stakeholders
- Coordinate travel arrangements (especially for Middle East and Africa): flights, hotels, transfers reflected in calendars
- Prepare documentation for VISAS and liaise with Visa Agency Service
- Prepare/Manage Travel Expense Reports in Concur according to Global Travel Policy and local country Policy and follow through with audit queries
- Support Leadership team with meetings and communications - within the team, across units and cultures
- Manage Workflows and monitor team vacation requests, purchase orders, internal orders, distribution lists, Inventory etc.
- Develop and maintain Organizational Charts
- Perform and monitor purchase activities (e.g. office material, business cards, 3rd Party purchasing), including master data creation and administration, creation of shopping carts, reporting and tracking on purchase orders.
- Updating materials including PowerPoint and excel spreadsheets for meetings and presentations
- Manage shared drives and communities.
- Admin support for new starters into the team to include ordering of equipment and monitoring induction.
- Central contact and all other ad-hoc support as needed by Leadership Team
- Developing collaborative work relationships within own team and cross-functional
- Support internal projects, including decision taking within clearly defined framework of departmental guidelines and practices

Requirements

Education And Qualifications / Skills And Competencies

- Apprenticeship as secretary or commercial qualification or comparable experience
- Committed to deliver high quality results under pressure and against tight deadlines
- High level of flexibility and energy, proactive working attitude (self-starter)
- Outstanding communication and networking skills, comfortable to work on all hierarchic levels internally and externally
- Ability to handle confidential and sensitive information appropriately
- Excellent knowledge of Microsoft Office and of SAP internal administration tools
- A pragmatic problem solver with sound diplomatic skills
- Fluency in English, both written and spoken

Work Experience

- 3 to 5 years of experience as secretary or comparable experience
- Experience working in and understanding a complex business environment
- Experience with SAP internal Tools like Corporate Portal, ISP, JAM etc.
