Job description / Role

Employment: Full Time

The Medical Records Manager is responsible for the professional management of the medical records operation of the hospital.
- Team roster and management of leave
- Employee orientation and integration to the team
- Team performance management/monitoring and reviews
- Ensures that team is multi-skilled in different facets of Medical Records
- Policies and procedures communicated and observed by the medical records team
- Ensures relevant information cascaded and understood by the team members
- Performance Management focuses on continuous improvement of systems and processes, with special emphasis on client needs against standards and corrective action is taken where necessary
- Ensures that the medical records department adheres to JCIA accreditation standards
- Best practices are shared to the benefit of the group
- Policies and procedures are developed, maintained, implemented and compliance monitored.
- Financial and administrative controls are maintained within the Medical Records Department
- Risk management of the Department is maintained
- Participate in / attend Quality Improvement Training
- Ensures that equipment and space layout planned and workflow facilitated to ensure optimal functioning of department
- Filing space updated continuously and process in place to move inactive records to offsite storage area.
- Medical records and other health information stored in a safe and secure environment. Confidentiality maintained at all times
- Medical reports and discharge summaries completed daily
- Medical file audits conducted on a regular basis
- Medical Record forms designed and coordinated with the hospital forms committee
- Outsourced offsite storage company assessed and monitored on continuous basis
- Measures and maintains the productivity of the output of the medical transcriptionists.
- IT systems and infrastructure used for Medical Records management and maintenance are assessed for adequacy and effectiveness.
- New software systems and applications are suggested and external suppliers are met with to explain the business requirements
- Birth and death notifications to DHA/MOH on a regular and timeous basis
- Statistical reports prepared and submitted as per Mediclinic guidelines
- Client expectations are met and quality client service principles are maintained
- Any other duties as directed by Administration Manager

Requirements

- Graduate with a Tertiary Diploma or Degree
- At least 5 Years Supervisory experience
- Coding experience essential
- Computer literacy at expert level and a good understanding of MS Office
- Knowledge of computerized database management systems and statistics
- Must be fluent in English (speak, read, write).
