Job description / Role

Employment: Full Time

• Follow office workflow procedures to ensure maximum efficiency
• Maintain files and records within existing filing system
• Greet and assist office visitors when they arrive at the office
• Manage schedule of the meeting room
• Manage petty cash and prepare monthly petty cash reports
• Keep track and help to renew various office agreements on an annual basis
• Monitor office supplies inventory & stationary and place orders
• Arrange business cards for new joiners and reorders
• Communicate and liaise with cleaning company regarding cleaning schedules and timings
• Manage FedEx shipments and supplies
• Weekly mail collection from Post Office and disseminating correspondence
• Manage and track office access and parking cards for employees
• Communicate with Etisalat, du and other service providers
• Answering the switchboard, screening and forwarding incoming phone calls
• Manage corporate account emails and distribute to team members when necessary
• Manage GHA Voucher programme
• Assist with hotel bookings for business partners and top programme’s members on request (incl. voucher bookings)
• Any other ad hoc tasks assigned from time to time

Requirements

• Proven experience as Administrator or in a similar role
• Fluent English
• Excellent verbal and written communication skills
• Knowledge of office management systems and procedures
• Proficient with Microsoft Office Suite
• Working knowledge of office equipment (phone, printer, scanner)
• Customer service oriented. Experience in customer service will be a plus.
• Ability to organize, multi-task, prioritize and work under pressure
• Reliable with patience and professionalism
• Ability to be resourceful and proactive in dealing with issues that may arise
• Preferably candidates already based in UAE
• Reliable, trustworthy and presentable
