Job description / Role

Employment: Full Time

• Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
• Must possess excellent communication and secretarial skills.
• Assist in 360-degree recruitment from hiring to placement process. Assist in sales administration.
• Prepare SIF file for all salaries and prepare cash salaries for distribution. Print pay-slips and distribute. Answer payroll queries.
• Ensure that all supplier invoices and utility bills are verified and entered into system and filing is maintained in order.
• Prepare supplier payment schedule and speak to supplier for all their payment queries.
• Monthly report on purchase orders and support in month end closing and reconciliation of all suppliers account.
• Obtain quotations for PPE, flights etc. from different vendors and negotiate payment terms.
• Checking of expenses claims and entry into system.
• Follow up on outstanding payments and provide a weekly AR aging report to management.
• Daily attendance collection from different sites and update daily attendance report.
• Provide documents to client to issue gate passes etc.
• Maintains sufficient office supplies always available in stock.
• Any other works assigned day to day basis.

Salary:
AED 3,000 to 5,000 per month inclusive of fixed allowances.

Requirements

• Proven experience as an office administrator, office assistant or relevant role
• Outstanding communication and interpersonal abilities
• Excellent organizational and leadership skills
• Familiarity with office management procedures and basic accounting principles
• Excellent knowledge of MS Office and office management software (ERP etc.)
• Qualifications in secretarial studies will be an advantage
• High school diploma; BSc/BA in office administration or relevant field is preferred
