Job description / Role

Employment: Full Time

The Operations Manager effectively manages and controls the activities of the training centre for the Al-Futtaim Group.

Key Accountabilities:

Operations:
- Ownership of facility management
- Ensure all accounting and budget practices are complied with in order to meet internal audit expectations
- Support Regional Operations across MENA with learning and development queries
- Responsible for administration related decisions including problem resolution when required in order to meet business needs
- Participate and contribute to Organisational Development projects as and when required
- Act as a business support for the General Manager if requested
- Ensures that all requirements, for the smooth running of the centre, are readily available for the team i.e. stationary items as well as other resources to support learning & development
- Keeping track of budget expenditure and consulting where necessary of potential over expenditure
- Carry out the day to day administration activities of the training centre including but not exclusive to creating LPO’s, assisting with vendor selection, trainer utilisation reports, expense reports and procurement
- Timely processing of supplier invoices
- Scheduling of facilitators to ensure that training is provided as per the scheduled offering
- Collate business needs analysis in order to develop the yearly planner
- Deals with and actions bespoke training requests

Analyzing & Reporting:
- Achieve productivity of training participation across the business as per required reporting metrics
- Provide the relevant business functions with the relevant and up to date business information to support operations and promote Group L&D ROI and commercial value
- Ensure expenditure of professional fees budget is accurately recorded and equitably distributed amongst AFG divisional businesses

Standards:
- Create, implement and continuous improvement of training systems and practices
- Ensure all current systems and infrastructure for reporting are in place, maintained and are 100 accurate (SAP functionality)
- Implement a staff scheduling system and further developments to measure productivity
- Support Emiratisation and government agencies in adhering to regulations and corporate social responsibility
- Continuous improvement of current processes and standards

Communication to stakeholders:
- Keep key stakeholders up to date of learning and development activities and any changes that may impact the business
- Provide clear communications and information flow to the AFG of businesses
- Liaison with finance on a regular basis in order to keep track of expenditure and valid reporting

Team Leadership
- Manages a team of administrators providing scope of work, clear direction and standards of work
- Provides feedback on a regular in order to enhance performance
- Ensures that the administration team has the necessary support, at the right time, in order to meet the growing demands of the business

Requirements

- Diploma/Degree in relevant discipline (HRM, Business Admin, Information Technology)
- 3 to 5 years in an operational mgt role
- Effective Communication, project management, strong people and time management skills
- Customer Service experience would be a distinct advantage
- ERP (Enterprise Resource Planning) or IT Systems knowledge
- Knowledge of SAP
- Expert knowledge of MS office

- Process owner amd ability to design processes and adhere to them implementing polices and procedures
