PA - 6 Month Fixed Term Contract

Your Company
A well-established FMCG company based in the UAE is looking for an executive assistant to support their General Manager based within its Dubai office located in Jebel Ali. You will be working for a global company who specializes in the distribution of alcoholic beverages across the Middle East.

Your Role
This position is a 6-month contract; there is the potential that this role may be extended/made permanent, however, this would be dependent on business needs at the time. This position is responsible for a full spectrum of administrative and secretarial support to the General Manager. You will work independently and handle confidential information, documents and other necessary materials. In addition to supporting the GM, your new role will provide administrative services and support to the Business Unit Team. Day-to-day, you will be maintaining diaries, booking meetings and business appointments, handling travel arrangements, managing the processes for GM and team expenses, coordinating weekly calendars and schedules, co-coordinating senior management executives’ visits, planning and coordinating Duty-Free conferences/meetings and any hospitality projects where required.

You will be responsible for facilitating meetings, including creating agendas, taking minutes and producing and providing any other meeting materials as needed. You will be the main point of contact for all administrative support including assisting with the development and preparation of any documents and presentation materials, establishing and maintaining files and records, preparing regular reports and analysis of data, maintaining databases, as well as other admin duties or facilitating ad-hoc projects as and when assigned.

Requirements

What you’ll Need to Succeed
The successful candidate will have exemplary spoken and written English, with a solid background in administration and EA support. Preferably you will have had exposure to FMCG sectors and will have provided support to high-level individuals. You will be highly computer literate; especially familiar with the use of all Microsoft office packages. The perfect candidate will have a pleasant personality with excellent administrative, problem-solving and organizational skills as well as be a self-motivated, fast learner. You will thrive within a busy, challenging environment. As the company deals with the distribution of alcoholic beverages, you must be comfortable working within this environment.
