S&P World Networks DMCC (“SnP”) is an affiliate company of Hanwha Group, a Fortune 500 company and one of top 10 conglomerates of the Republic of Korea. Hanwha Group’s global network of affiliates includes companies in different sectors such as manufacturing & construction, hospitality service and financing institutions. One of SnP’smission is to procure and supply construction material and provide general support for Hanwha E&C’s USD 10 billion Bismayah New City Project (BNCP) in Iraq, which is comprised of construction of new city development, 100,000 housing project and Social infrastructure. SnP is expanding its business spectrum to global logistics solution and construction material trading business amongst many as well as exploring other new business opportunities in MENA.

Job Description:
Task significance: 10%
- Compile, organize, copy, sort, entry file documents &records of office activities, business transactions, and other activities
- Review files, records, and other documents to obtain information to respond to requests.
- Computer knowledge -- Use computers and computer systems (including hardware and software) to program, enter data, or process information.
- Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.

Task significance: 80%
- Prepare payment documents for each purchase order.
- Prepare documents for applying Letters of Credit.
- Complete different invoices and expense reports.
- Verify invoices from suppliers with purchase orders
- Review and match all invoices to purchase orders.
- Collect and check shipping documents(eg. Bill of Lading, Certificate of Origin, etc.) with different vendors.
- Communicate with Supervisors, Peers to provideall business documents and answer questions to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
- Communication with Persons outside Organization -- Communicate with people outside the organization, representing the organization to vendors, customers, the public, government, and other external sources. This information can be exchanged in person, in writing, or by telephone or e-mail.
- Update procurement status reports.

Task significance: 10%
- File reimbursements for different expenses
- Do basic bookkeeping(handling invoice, bill data) .
- Contact with the needed companies dealing with internet/landline/printer etc, to ensure timely responses if needed.
- Answer/direct telephone calls and take messages.
- Open, sort and route incoming mails, answer correspondences, and prepare outgoing mails
- Make business travel arrangement (air ticketing, hotel reservation, filing expense,etc.) for the office personnel.
- Ensure office stationary and other needed supplies are well maintained and in surplus.
- Greet and serve guests or visitors
- Deliver messages take orders by supervisor and run errands.

Requirements

- Department: Procurement Team
- Location: JLT, Dubai, United Arab Emirates
- Experience: 2+ years of procurement department in Dubai / Oversea trading and logistics knowledge and experience is essential
- Gender: Preferably female
- Nationality: Preferably Filipino

- Bachelor’s degree
- Experience of min. 2 years in a related field(procurement department). Purchasing experience of construction, mechanical and electronic materials would be preferred.
- Knowledge about clerical duties such as managing files and recordkeeping
- Effective communication skills in English and grasp of arithmetic concepts
- Ability to read and interpret contracts, purchase orders, invoices and shipping documents in English.
- Capable to communicate with financial departments or/and banks for Letters of Credit.
- Communication capability for exchanging general documents and information with vendors, customers, shipping companies and forwarders.
- Active Listener -- Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Communicating with Supervisors, Peers, or Subordinates -- Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
- Establishing and Maintaining Interpersonal Relationships -- Developing constructive and cooperative working relationships with others, and maintaining them over time.
- Efficient in handling computer applications(especially Word, Excel)
- Ability to work well with a team and have good interpersonal skills
