FUNCTION: Finance & Procurement
REPORTS TO: Procurement & Contracts Manager

The Procurement & Contracts Executive is responsible for sourcing equipment, goods and services and managing vendors

KEY RESPONSIBILITIES / DUTIES:
- Assists in preparing formal bid documents for items and services in compliance with procurement policies and regulations.
- Conduct research to ascertain the best products and suppliers in terms of best value, delivery schedules and quality.
- Performs preliminary evaluation of quotations, bids and proposals.
- Reviews documents and data (e.g. incoming requisitions, past purchases, reconciliations, inventories, etc.) for the purpose of ensuring completeness and accuracy of purchasing process.
- Ensure end to end execution process
- Obtains and updates information on market and contract purchase prices.
- Coordinates expenditure records with the Finance & Procurement function in order to assure prompt and accurate payment to vendors.
- Maintains the supplier performance database.
- Building strong working relationships both internally and with key suppliers.
- Work with internal customers to define their requirements, forecast life-cycle costs, and develop and implement acquisition strategies to obtain best supply arrangements. This can entail the preparation of bid solicitation package, evaluation of proposals, selection of suppliers, negotiation of supply arrangements, and formalization of procurement agreements.
- The successful candidate must also be comfortable working within extremely tight deadlines.

Requirements

- Minimum of a Bachelor’s degree in a business or engineering related discipline
- Preference will be given to qualified candidates in CIPS or equivalent certificate in procurement & supply chain management.
- 4-5 years of experience in procurement

Skills
- Ability to prepare specifications and invitations to bid and to evaluate bid offers.
- Ability to maintain accurate records and files
- Strong problem solving, decision making, negotiation, teamwork, leadership and analytical skills
- Customer focus
- Strong computer skills, proficiency in MS Office and ERP systems such Oracle, SAP, Microsoft Dynamics.
- Logistics Management.
- Inventory Management.
