The Job Opportunity

Serco has been supporting the Australian Defence Force (ADF) in the Middle East under the existing MELABS contract since 2011. Serco will provide 21 service lines, including catering, waste disposal, facilities and ground maintenance, laundry, transport management, procurement and welfare services in support of ADF bases primarily in the United Arab Emirates. Serco is looking to hire a Project Administrator for MELABS contract; the key purpose of this position is to assist Base Operations Management and Civil Engineer in managing the efficient and timely delivery of projects. Process and compile all project documentation and administrative tasks in accordance to Project management guidelines and ISO standards.

Key accountabilities

- Assist Base Operations Management and Engineer in preparation and execution of Project Management Plan and all its sub-plans in accordance to PMP guidelines and ISO standards.
- Assist Project in effective management of complete project design approval process.
- Prepare the Project files in accordance to PMP and ISO guidelines and produce for Serco, JLC, ISO Audits.
- Update CAFM software by uploading correct data against MNW and Projects.
- Generate different types of project reports.
- Request timely CAN notices through the Base Ops Administrator in accordance to the Project requirement.
- Forecast and invite stakeholders for site surveys for MNW and projects.
- Update project schedule during the lifecycle of the project.
- Forecast and invite clients and manage MNW and Projects, hold-point and witness point inspections.
- Participate in the Health, Safety & Risk programs including risk assessment work activities

Requirements

What we are looking for in our candidates:

- Minimum of 1 year administrative experience in infrastructure construction or facilities management.
- Experience working in an administrative role in a construction related Project Management Office (PMO) will be highly regarded.
- Experience with SAP is essential. Experience with CAFM software will be highly regarded.
- A good knowledge of Microsoft Office, Excel, Outlook and Word;

Specific requirements

- High School Diploma or Higher Secondary Education;
- A good knowledge of facilities MNW's and Projects;
- Understanding, compiling and proper filing of Project documentation;
- Knowledge of SAP and CAFM software;
- Understanding of how to follow applicable departmental policies and procedures;
- Ability to effectively prioritise and execute tasks;
- Experience and understanding of dealing with customers, subcontractors.
- Certification in IOSH managing safety or NEBOSH Occupational Health and Safety is an advantage
