Hays Middle East was established in December 2005 in Dubai and has a team of over 60 staff now recruiting for positions throughout the region. The team is a great mix of international Hays transferees and locally hired talent from around the world.

We have Enterprise Solutions, Executive Search, Permanent Contingent and Contract recruitment divisions which work with MNCs and local corporates in all major economic sectors including financial services, technology, energy, real estate, construction, health and education. A strong corporate function provides local expertise in finance, HR, IT and marketing for the UAE team.

While based in Dubai, the office recruits for positions across the GCC in locations such as Abu Dhabi, Saudi Arabia, Qatar, Oman and Kuwait. The sheer size of this region, along with its forecasted population and GDP growth, shows the immense opportunity for the further growth of Hays in the Middle East

Your new role:

The main responsibilities will be providing a high level of customer service to both our internal employees and external clients, while also carrying out the administrator duties. Working for an office of 60+ staff you will need to be able to multitask and carry out administration duties efficiently. It is essential that you have a high level of confidential values as you will handle many private and personal documents.

The role requires a flexible and adaptable approach and a ‘can-do’ attitude. You must be quick, efficient and enjoy working within a varied and busy role. It is necessary to have a good understanding of the business, the way in which it functions and the different industries that people work on. You should be confident and capable of communicating with people in all areas of the business

In this role you will be required to:

• Performing general clerical duties to include but not limited to: photocopying, faxing, mailing, scanning and filing
• Formatting CV’s on behalf of the consultants and ensuring there is a high level of attention to detail
• Marketing duties and updating information on a regular basis including updating consultant inserts, creating Hays standard documentation and assembly of league tables
• Taking new job descriptions and details while keeping track of Client enquiries, forwarding to corresponding person
• Preparing documents and charts using Microsoft Power Point, Word, Excel and Publisher
• Liaising with our suppliers on ordering and designing business cards for all staff, and new orders of stationary
• Managing the client and candidate emails, replying and forwarding to concerned person in a timely manner
• Gathering all client and candidate survey information and reformatting into charts for the management team
• Ordering flowers and dealing with all shipments and couriers, worldwide
• Keeping track of all room bookings
• Keeping record of all Terms of Business signed and unsigned
• Front of house duties, screening calls/ handling complaints, directing clients and candidates to the correct person
• Supporting the Managing Director and any other ad hoc duties, this may include supporting the HR and Marketing team
• Assist in organizing internal and external events

Requirements

What you’ll need to succeed

• Two years’ experience within the field of administration/reception
• Intermediate in Word, Excel and Outlook (PowerPoint & Publisher would be an advantage)
• Proficiency in oral and written English
• UAE experience in an office environment
• Be able to multi task whilst keeping a high level of attention to detail
• Be passionate about people
