Job description / Role

Employment: Full Time

- To provide pro-active day-to-day administrative and secretarial support to the Sales Leader and sales team in order that they can effectively carry out their duties.
- Assume day to day responsibility for the administration and management of the HBS Sales team.
- Maintain and promote the company’s key objective of providing high quality professional and on time customer service and support at all times
- Diary management for the Sales Leader to include meeting planning and invitations as well as providing a rolling 12 month planning system for all direct reports and employees for key activities and events
- Plan travel including flights, hotels, car hire, pick-ups, visas, meeting confirmations, etc.
- Arrange/support internal and external meetings, conferences, company events, international trade shows, etc.
- Provide support for customer and VIP visits into the region including visas, hotels, pick-ups, gate passes, etc.
- Handle letters, faxes, e-mails, and general incoming and outgoing correspondence as required
- Assist in the production of monthly reports, customer mail shots and internal communications
- Produce high quality Power Point presentations as required for key company meetings and events
- In conjunction with the Marketing Leader and Sales Teams provide support in organizing customer communications, mailshots, seminars, trade shows and events
- Manage the Distribution Agreements process and database, drafting of new agreements as required and issuing renewal agreements in line with renewal dates, coordinate with sales leader to ensure all distribution agreements are returned on time
- Maintain holiday and sickness records by working with the sales team and HR to ensure that each department has sufficient cover
- Organize and maintain office supplies, as required, to support the day to day business needs including the raising of PO’s with external suppliers, monitoring stock levels and keeping costs under budget
- Manage cost of internal and external company events within or under AOP
- Assist in creation of sales trend analysis and reporting

Requirements

- Excellent Computer Skills - MS Office - Outlook, Word, Powerpoint, basic Excel
- Experience in SFDC preferred
- Proficient in written and spoken English
- Previous secretarial skills necessary
- Customer-oriented, sales-minded
- Solution-oriented, efficient working
- Excellent communicator
