Senior Facilities Supervisor

Job Opportunity

The purpose of this position is to provide support to the Facilities Manager to manage and oversee the Facilities Services for Dubai Metro. The services being provided shall be cost effective, safe and relative to the requirements of the Facility Management and Human Resource aspects of Dubai Metro.

Key accountabilities;

People accountabilities

- Supervision of different disciplines of staff (Assistant Facilities Coordinator, Receptionist, Central Support Assistant and Outsourced staff) and conduct performance reviews and disciplinary

Staff transport

- Oversee the day to day adhoc staff transport request in liaison with the staff transport service company
- Perform regular safety reviews, audits and inspections on staff transport buses on a monthly basis
- Plan and attend quarterly meeting with the staff transport providing company team leaders and provide feedback to the FM on any issues arising

Procurement and Asset Management

- Report to Facilities Manager for purchase of Facilities assets
- Day to day management of Facilities assets in the pantry areas within depots and staff Accommodation buildings
- Manage supply/issuance/stock take of stationery and office supply.

Subcontractor Management

- Support Facilities Manager to monitor the service delivery and related performance of subcontracted services and supplies
- Staff transport
- Pest Control
- Laundry (staff uniforms and mops and cloths)
- Uniform and shoe suppliers
- Confidential waste and recyclable waste services subcontractors
- Conduct inspections for all subcontractor services and prepare monthly reports based on findings and take corrective actions.
- Ensure all documentation is in order for RTA/ISO audits

Uniforms and Shoes

- Oversee the allocation of uniforms within the Uniform Stores in liaison with the Facilities Manager (including coordination and distribution of new uniforms);

Recruitment and Training

- Plan and conduct interviews for the office Assistants
- Deliver work instruction training and on the job training to the newly recruited receptionists, Assistant Facilities Coordinator and Uniform & Laundry Assistant

Financial accountabilities

- Management of service budgets, ensure expenditure is monitored against the budget,
- Liaise with Security Department in relation to Security procedures for access into Metro premises by the Facilities subcontractors
- Maintain a defects/issues log for Facilities assets within Dubai Metro premises as well as staff accommodation
- Oversee distribution of the Internal Customer Feedback Survey on a monthly basis and ensure receipt of feedback. Consolidated report to be forwarded to Facilities Manager on a monthly basis for a resolution of any high-lighted issues
- Supervise distribution of incoming mail for Rashidiya depot, and the efficient dispatch of outgoing mail to all internal and external customers

Essential technical and professional skills

- Should ideally have a degree or high diploma in related.
- Must have minimum 3 years' experience within a similar position which involved working in a multifunctional facilities service environment.
- Good understanding of management processes in relation to audits, procedures and instructions and management of assets.
- Good experience in managing sub-contractors.
- Must have experience in managing a number of teams within different disciplines which includes performance reviews, leave, absence, overtime, uniforms, inductions etc.
- Thorough understanding of all aspects of safety issues.
- Excellent interpersonal and communication skills.
