We are currently in search of a highly skilled and motivated Senior Office Administrator to play a pivotal role in maintaining the smooth and efficient functioning of this distinguished establishment.

Description

Team Leadership:

* Supervise and lead a team of administrative staff, providing guidance, mentorship, and performance management.
* Foster a collaborative and efficient working environment to ensure optimal productivity.

Policy and Procedure Development:

* Develop and implement effective administrative policies, procedures, and systems to streamline operations and enhance overall efficiency.
* Regularly review and update policies to align with organisational goals and industry best practices.

Collaboration with Department Heads:

* Work closely with department heads to understand their administrative needs and provide necessary support to ensure effective work-flow.
* Facilitate communication and coordination between departments to enhance overall organisational efficiency.

Record Management:

* Oversee the management of employee records, including attendance, leaves, and performance evaluations.
* Ensure compliance with company policies and legal requirements regarding record-keeping.

Meeting and Event Coordination:

* Coordinate and organise meetings, conferences, and company events, including logistics, scheduling, and catering arrangements.
* Ensure smooth execution of events, contributing to a positive and engaging work environment.

Reporting and Correspondence:

* Prepare accurate and timely reports, presentations, and correspondence as needed.
* Maintain a high level of attention to detail and professionalism in all communications.

Confidentiality Management:

* Handle confidential information with the utmost integrity and professionalism.

Process Improvement:

* Identify areas for process improvement and implement changes to enhance overall administrative effectiveness.
* Stay updated on industry trends and best practices.

Facilities Management:

* Oversee facilities management, including maintenance, repairs, and supply procurement to ensure a safe, clean, and comfortable work environment.

Vendor and Client Interaction:

* Serve as the primary point of contact for external vendors and service providers, negotiating contracts, and managing relationships.
* Manage parking services with the building management

Financial Oversight:

* Review and approve all vendor invoices and partner's expenses.

All-Staff Meetings:

* Plan, organise, and run All-Staff meetings to ensure effective communication and engagement among employees.

Requirements

* Bachelor's degree in Business Administration or relevant field.
* 5 years of experience as an Office Administrator or in a similar role.
* Applicants having a previous experience within a consultancy firm would be a priority
* Strong leadership and team management skills.
* Excellent organisational and multitasking abilities.
* Proficient in Microsoft Office Suite.
* Exceptional communication and interpersonal skills.
* Ability to maintain confidentiality and handle sensitive information with discretion.
