Job description / Role

Employment: Full Time

Key Purpose

- Responsible for supporting the effective and efficient delivery of a security services to support the client, staff, guests and visitors.
- The role will support the Department Manager in the management of security services by the nominated service provider to the agreed standards and deliverables.
- The role also provides a point of contact for all day to day security operations, enquiries and requires the incumbent to recommend and provide smarter working and administration practices in accordance with the Serco Management Systems.

Structure and reporting relationship

Typically reporting to a Department Manager or Section Lead.

Based on the specific requirement of the role

Key accountabilities

- Conduct a minimum of twice daily site check/inspections ensuring adherence to the contract by the security provider and report as appropriate.
- Establish and maintain a working relationship with all Departments.
- To conduct reviews of all incident reports for further actions and advise the Management team.
- Develop and manage process for ensuring relevant departments and aware of issues reported through security.
- To respond to requests by the client and/or the manager for information on incidents
- Support the manager and act as point of contact for client during times of absence and support the security designated deputised Management team member
- Support the manager by conducting quality checks of security service provider reports and adherence to KPIs.
- Monitor the security related requests ensuring follow up and closure.
- Disseminate information to security team.
- Inform and advise the manager of actions taken.
- Ensure all key management protocols/processes are followed
- Ensure replacement keys are cut and issued promptly following correct procedure
- Conduct monthly key audit and report to the manager
- Respond to all client requests for information and support and advise the manager
- To ensure information and reports are provided to the client in a timely manner
- Ensure Security Service Provider are informed of any notified events
- Ensure and confirm the Security Service Provider deploys appropriate security according to the event demand.
- Respond to all requests relating to access control card issue to the client
- Ensure replacement card requests are managed in accordance with agreed procedure
- Manage access control data and provide reports upon request by the manager
- Replacement card payments are handled appropriately
- Advise the client of reported lost valuable items
- Manage lost and found procedures and respond promptly to request for collection/handover of property
- Liaise with the client on disposal of property
- Coordinate with the reception teams and attend all incidents and assist in resolving issues
- Attend all cases of reported student sickness and report to the client
- Attend all reported incidents/emergencies, support and follow-up reports to the manager
- Support the client relating to car parking violation and maintain an accurate record of violations
- Provide reports and produce statistics upon request from the management and client
- Manage and ensure contract compliance by Security Service Provider in relation to contract and KPI's
- Carry out other duties as directed by the line manager or member of the senior management team.

- Ensure compliance with the Serco Management System and all relevant business processes, procedures and work instructions to deliver all work with appropriate quality and governance standards
- Ensure security and integrity of all data provided including reporting performance, finance and customer information; reference Serco non-disclosure policy
- Ensure compliance with all training requirements of Serco and ensure adherence to these requirements at all times whilst in employment
- Awareness of the Integrated Management System and the content of the Environment, Quality, Health & Safety and Information Security Policy Statements
- Understanding of personal responsibilities and contribution to achieving compliance with the Integrated Management System requirements, (including but not limited to competence to perform safety critical roles, legal requirements, control measures arisen from environmental impacts and aspects, job safety analysis and information security risk assessment) and the potential consequences of departure from the arrangements in place to deliver the commitments stated in the policies statements above
- Exercises their personal duty of care for their own health, safety and welfare and for those affected by the acts or omissions
- Promotes a good HSQE and Information Security culture among their peers, subcontractors and third parties
- Leads by example and look at ways to conserve energy, water and resources and minimise the generation of waste through personal performance and raise recommendations on how to improve existing processes on this regard within/outside their departments through their Line Manager, Departmental Safety Meetings and any other appropriate available channels
- Protects information assets and data including both electronic and paper based from all threats whether internal, external, deliberate or accidental
- Promotes a good HSQE and Information Security culture among their peers, subcontractors and third parties.

Requirements

Essential technical and professional skills, knowledge and qualifications

Technical and Professional Skills

- 3 years minimum operational security delivery experience.
- 5 years minimum security administration experience in a facilities management environment.
- Proven experience of working with Subcontractors.

Knowledge

- Knowledge of liaising or working within a Security Service Provider
- Clear communication in English, both verbal and written
- Computer literacy - Knowledge and use of MS Office Systems, particularly Excel
- Superior customer service skills
- Strong interpersonal skills

- Decision making abilities
- Excellent understanding of security processes and monitoring of these processes
- Adaptable to change
- Continuous improvement mentality
- Ability to work in a team as well as independently

Qualifications

- Educated to the level of Bachelor degree in a technical or business discipline.
- A degree or relevant industry certification is required.
