Employment: Full Time

JOB PURPOSE:

Supervises and controls the provision of iLogistics personnel travel system and ensures proper utilization of the system to support the personnel movement. Assists in the collection, review and analysis of the various ongoing logistics services needs to be accomplished different identified phases and by identifying opportunities for optimization and integration. The duties include benchmarking and measurement of business unit and support unit logistics performance. Identify and find number of ways in which Logistics could further improve and develop the services offered, including new services, enhancements to existing services, improving the quality of the services to ensure the operational effectiveness and excellence of the business unit.

KEY ACCOUNTABILITIES:

Job Specific Accountabilities
- Using iLogistics, track and analyse business units' trends and make appropriate arrangement that will accompany logistics demands in positive manner.
- Identify, shape, and specify business solutions that suites logistics passengers' movement in iLogistics application.
- Solves iLogistics and operation problems in a way that brings the most cost effectiveness and within allowable time frame agreed with the project team; with no / minimum downtime due to unavoidable events.
- Manages iLogistics end to end passenger movement activities from HQ. Manages the material movement (small cargo) through marine and aviation terminals occasionally.
- Instigate the policy of continuous enhancement requires consistent and focused change management across the business.
- Identify needs for additional resource to help bring about change within the business at the same time as maintaining robust, operational, business as usual support to members.
- Analyses iLogistics data gathered, develops information and considers available solutions or alternate methods of proceeding.
- Carryout the needful communication for coordination/liaison with the concerned for the tack's optimization.
- Conducts the overall supervision and ensure functionality of the travel system at Abu Dhabi Aviation Terminal, Bateen Airport, Marine Passenger Terminal.
- Plans Aircraft/boats movements with associated services such as travel booking, VIP lounge, handling of passengers and freight to all ADNOC OFFSHORE sites, and other OPCO's including contracted service company
- personnel, government entities.
- Prepares daily, monthly operation reports, Data/statistics and invoice analysis, recovery charges of third parties using Fixed wing/Helicopter flights, marine boats and Catering facilities.
- Controls the passenger's movement operation and determine priorities and abnormal situations requirement and coordinates with all users /service providers to meet extra requirements such as urgent freight/materials.
- Ensures all guidelines and operation instructions are adhered by subordinates, service providers and passengers and amended where applicable.
- Prepares flights schedules and passenger movement plan as per operation requirements and ensures it is implemented by assigned contractors personnel / service providers and monitor flight operations closely in line with operational requirements to avoid delays.
- Determines payload, and direct routing of helicopters/fixed wing & Ferry boats in coordination with Aviation and Marine service providers.
- Guides, directs and instruct subordinates to ensure they work to their best potential and contribute effectively as a Team.
- Ensure the service provider is in-line with the service contract and make sure all service level agreements with other Group companies are met.
- Prepare cost allocations for all helicopters and fixed-wing users and analyze and clear all invoices received from service providers
- Review and verify the delivery of reports and measuring the KPI's of the section reporting performance.
- Observe the operations of Fixed/Rotary Wing, ferry boats closely, and the services provided by Abu Dhabi Aviation/Falcon Aviation Services to ADONC OFFSHORE with other Group in order to improve the operations efficiency.
- Meets regularly with service providers and stakeholders to discuss operations and issues which need to be resolved.
- Daily contacts with all personnel to advise on air/sea travel, information, and routine queries.

- Train and develop the assigned staff on relevant skills to enable them to become proficient on the job and deliver the respective section objectives.

- Provide input for preparation of the Section / Department budgets and assist in the implementation of the approved Budget and work plans to deliver Section objectives.
- Investigate and highlight any significant variances to support effective performance and cost control

Policies, Systems, Processes & Procedures
- Implement approved Section / Department policies, processes, systems, standards and procedures in order to support execution of the Section's / Department work programs in line with Company and International standards.

Performance Management
- Contribute to the achievement of the approved Performance Objectives for the Section / Department in line with the Company Performance framework.

Innovation and Continuous Improvement
- Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
- Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with ISO standards in order to define intelligent solutions for issues confronting the function.

Health, Safety, Environment (HSE) and Sustainability
- Comply with relevant HSE policies, procedures & controls and applicable legislation and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices.

Reports
- Provide inputs to prepare Section MIS and progress reports for Company Management.

COMMUNICATIONS & WORKING RELATIONSHIPS:

Internal
- Managers and TL's of Logistic, Procurement Managers and other relevant representatives from the company Business Units.

External
- Market providers of logistics services, to develop work relationships.
- ADNOC Group and other Companies looking at the supply chain and its opportunities to create link.

Requirements

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:

Minimum Qualification
- Bachelor's Degree in Aviation / Marine / Logistics discipline or equivalent.

Minimum Experience & Knowledge & Skills
- 8-9 years of experience and Knowledge in Logistics Operation/ Logistics Transportation management.
- Proven management skills and leadership skills, including the ability to gather clear business requirements.
- Proven ability to develop, document and maintain operational policies and procedures, including the designing and documenting detailed process flows, and development of operational performance and quality metric standards and reports.
- Excellent logistic and planning and skills are required.
- Proficient in English language.
