Job description / Role

Employment: Full Time

The team leader manages the operational aspects of receiving, storage and distribution of stock and non stock items.

KEY ACCOUNTABILITIES:

General Management
- Jointly and in coordination with departmental colleagues, contributes in the development of the overall Logistics & Warehousing Department operational plans.
- Monitors and tracks department related KPIs, monitors performance against plan and initiates remedial actions in case of discrepancy between actual and expected performance.
- Manages day to day activity of the operational staff, liaising with other team leaders to agree common plans and to share - Keep the Line Manager informed of task accomplishment, issues and status. Escalate issues which cannot be resolved by the team.

Inbound shipment coordination and expediting
- Ensures timely receipt and offloading of inbound products into warehouses, and ensures that delivered products and quantities are as per order requirements.

Inventory management, Inbound logistics and storage, managing supplier returns
- Ensures timely order receipt processing for inbound shipments into the Groups facilities.
- Maintains accountability for conducting visual quality inspections for incoming products, and follows up with internal stakeholders, in case of excess or defective items.
- Ensure that products are stored safely and in the right conditions inside the warehouses and office premises.
- Based on customer order details, committed delivery dates and customer prioritization, ensures reservation of appropriate product inventory within the system.
- Ensures stock is managed in accordance with agreed SOPs and that team members are familiar with, and using IT systems appropriately.
- Highlights stock count discrepancies to Brand Management for short/ excess/ or defective items received from suppliers.
- Manages documentation process for supplier returns
- Plan the weekly and monthly inbound and dispatch activity in conjunction with the Line Manager to deliver the needs of the customer and business
- Work with the Distribution Operations Manager to plan the use of storage space to minimize the movement of inventory from receiving through to dispatch (reduce need for double handling)
- Ensure that shelving utilisation and storage space is maximized.
- Effectively manage the equipments within the area providing the most efficient and cost effective solutions for the business needs.
- Manage the health, safety and welfare of all direct reports, other staff, contractors and customers visiting the area
- Support the Line Manager in ensuring that health and safety best practice is followed.

Order Processing, Delivery and Confirmation (Outbound) including managing Customer Returns
- In coordination with the Distribution Operations Manager, ensures efficient and timely picking, packing and configuration of products based on customer orders.
- Work closely with Commercial Department (Sales & Retail) to ensure seamless end-to-end service (from receiving inventory from suppliers to storage in warehouse and arranging final product delivery to customers).
- Manages the process to ensure integrity and accuracy of financial and warehouse systems (e.g. three way matching) and informs Distribution Operations Manager of discrepancies.
- Provide status reporting of team activities against plan
- Ensure that all dispatches are sent on time and in full and within budget
- Ensure that all policies and procedures are adhered to within the receiving, storage and dispatch areas
- Develop internal quality check systems to ensure that dispatch items meet the requirements of the customer

People Management and Other activities
- Communicates and discusses the functions guidelines and procedures with employees to ensure responsibilities, authorities and accountabilities are defined and understood.
- Provides guidance, support, leadership and management to employees in order to ensure effective and efficient flow of work.
- Monitors staff performance, provides feedback and undertakes performance appraisals for all direct reports. Oversees performance appraisals for all other departmental staff.
- Provide guidance to the team based on management direction
- Ensure that team members are adequately and competently trained to provide flexibility across all logistics areas and meet the needs of the business
- Coach and counsel staff where necessary to deliver the needs of the business in accordance with all current and future policies and procedures
- Liaise with the team regarding day-to-day volume of work

- Liaise with relevant functions (e.g. Warehouse, Brand Managers, SWS, fleet and relevant departments.)

External Relationship:
- Vendors and Suppliers
- Auditors
- Other relevant bodies as required

Requirements

- Minimum High School qualification
- 2 years relevant experience

Job-Specific Skills:
- Hands-on experience in logistics operations
- Supervision of personnel, including defining tasks, making work assignments, and evaluating performance
- Knowledge of safety principles in the workplace.
- Knowledge in inventory management techniques
- Knowledge in warehousing technologies
- Must have an understanding of all WMS functions and how they relate to operational procedures including receiving, order processing, picking, packing, shipping, cycle counting, and reverse logistics.
