Job description / Role

Employment: Full Time

Purpose: To maintain an effective timetabling platform accessible to all users and to liaise with the University in order to ensure provided Timetabling and Exam Scheduling data is accurately recorded and updated as required to meet the university approved changes.

Key Job Responsibilities
- Liaise with University’s representative to receive timetabling data and to ensure such data is readily available to be entered into the timetable system.
- Prepare and schedule semester wise conflict free timetables for the university.
- Participate in all timetabling system training on the use of the software and future updates.
- Respond, in a timely manner, to approved timetabling enquires from University’s representative and student queries, in person, by telephone, by e-mail and in writing.
- Provide and confirm ad-hoc room bookings.
- Planning and assigning room bookings for final exam.
- Support the Timetabling Supervisor to undertake an annual evaluation of operational and process management issues and with planning beyond the annual cycle.
- Assist the Timetabling Supervisor to carry out regular and detail audits of teaching space.
- Contribute to the annual review of system operation and make recommendations to the Timetabling Supervisor to improve system operational performance.
- Understand and adhere to the University and Registry policy and regulations.
- Actively participate in regular timetabling meetings as directed by line manager.
- Preparing Location Reports on a daily, weekly and monthly basis to monitor the usage of classrooms/facilities of the university to the service providers and as well as to the internal staff. Also, provide location, faculty and course report to the client as when requested.
- Daily archiving of SPF File and Location reports.
- Communicate effectively with colleagues and the clients representative.
- Ensure compliance with the Company IMS relevant to the position.

- To lead by example and ensure to protect the environment by conservation of electricity, water and other natural resources, and minimizing generation of waste.
- Participate in company QHSE training, programmes, audits and inspections.

Information Security Responsibilities
- To protect information assets including both electronic and paper based from all threats whether internal, external, accidental or deliberate
- Promotes a good HSQE and Information Security culture among their peers, subcontractors and third parties

Knowledge
- Full understanding of the English or Arabic language (oral & written)
- Competent in the use of IT: MS office systems
- Customer and service focused
- Understanding of timetabling software systems

Requirements

Skills:
- Arabic or English as a second language

Experience
- Minimum 2 years’ experience in data entry operations
- Degree Level Education
