Job description / Role

Employment: Full Time

Under the general supervision of the Operations Manager, the Warehouse Supervisor is a member of Terminal’s operations team fulfilling the responsibility towards Operations activities with necessary compliance pertaining to the IMS standards in a courteous, helpful and professional manner. This position provides a highly visual deterrent to Systems Activity & Book Stock Control as well while adhering to the Quality & IMS standards.

Prime Objectives:

• Daily preparations of bulk reports.
• Save Daily Delivery Signed DO’s in System with its dispatch number.
• Maintain inventory by conducting monthly physical counts; reconciling variances; inputting data for the Bulk & Non-Bulk items.
• Maintain 3rd party storage & dispatch report in Excel.
• Prepare Monthly Over Time Report.
• Check periodically for excess balance quantity to be removed from system along with Percentage Loss Report.
• Monthly Cross Tallying of Empty Drum Receipt along with suppliers report.
• Update Daily Terminal Costing Report.
• Prepare Monthly Invoicing Report, Bulk + Non-Bulk Dispatch Report, Filling Report, Empty Drums IBC & Pallets Receipt & Dispatch Report, Opening & Closing Stock Report etc.
• Container Number, Seal Number & Lot number of the Product Loaded should be Cross Checked daily & updated Container loaded list to be sent to the concerned Logistics department.
• Enter Primary Purchase order & quantity in ARC System for all Third-Party Customers.
• Check for all the Proper Documents received after Vehicle Loading (Bulk + Non-Bulk) & if Ok dispatch from JDE System & hand over the Dispatch Note along with all the Proper Docs to Security.
• Send Lot Numbers to the concern Logistics Team along with all the Supplier Batch Numbers & Scan the Signed Docs if needed.
• Send Closing Stock & Daily Dispatch Report for Third party customers.
• Cross check the OI & OB from system along with all Import Documents from Import Dept such as BOE, BL, COA, Packing List etc. & give clearance for Offloading & take GRN in JDE after receiving the Gate Pass from operational field with necessary information.
• Scan the Documents of Road tankers received Locally or Import to the finance Department for Costing along with GRN copy.
• OTR to be taken in ARC system after the Receipt of all necessary Documents such as BOE, BL. COA, & OUTTURN from concerned people. Save the COA as per Tank wise so that it can be delivered along with all Deliveries.
• Take Print out of Filling Plan & check for any changes from yesterday’s Plan, if so, provide with new Conversion with Batch number.
• Prepare Conversions for the upcoming day.
• Enter Manual created Lot numbers in JDE system.
• Empty Drum GRN to be taken in JDE system.
• Everyday tallying the Empty drum Book stock with Field Supervisor’s Report.
• Drum (filling) to be done in system as per the conversion received after physical drumming.
• Decanting to be done in system after the documents received from Operational field.
• Blending to be done in system after the documents received from Operational field & those details are been sent to Customs Department for preparing BOE.
• Empty Drums, IBC’s, Pallets Receipts to be done in ARC System for 3rd part Customer.
• Drumming (Filling) to be done in ARC system after the documents received from Operational field.
• Sample request to be given to the operational field along with label & should coordinate with requester & security for the proper dispatch of sample.
• Filing of All types of Documents for future Reference & to be sent to Records Management Company periodically.
• To enhance improvement in operations activity, propose new procedures to maintain quality and safety of product and operating staff.

Requirements

• Bachelors Degree in Commerce or Equivalent
• Previous experience in warehouse inventory management
• Excellent analytical skills
• Able to be negotiate and communicate effectively
• Able to provide detailed reports
• Fluency in written and spoken English is mandatory
