Job description / Role

Employment: Full Time

International Law Firm Human Resources Assistant Supporting Dubai and Riyadh (6 month contract, possibly then permanent)

Responsibilities:
• Manage recruitment applications and approvals, resourcing, Global Mobility and on-boarding
• Liaison with recruitment providers on vacancies, schedule interviewing, managing assessments.
• Employment offers, on-boarding processes for business services and fee earners across the Middle East (Riyadh and Dubai).
• Manage induction programs in both Riyadh and Dubai.
• Manage logistics for new joiners, overseeing short term accommodation, immigration process, relocation and providing pre-arrival information and welcome packs.
• Secondments – managing paperwork for secondments (ie secondment agreements, and costing).
• Process employment and secondment visa applications with payroll.
• Manage all immigration issues that arise, ie visa transfers, advice and applications for spousal sponsorship, Emirates ID cards, labour and secondment cards.
• Enrol all new joiners in Riyadh on the Qiwa portal and manage any queries relating to immigration.
• Register all practicing attorneys with the Dept of Legal Affairs on joining.
• Manage all legal training requirements with the Dept of Legal Affairs.
• Manage mid and end-probation meetings/processes.
• Assist the HR Advisor in managing the Graduate Recruitment programme, including internships, offer letters, seat moves and logistics for visiting and local trainees.
• Manage all international Academy training bookings for Fee Earners.
• Coordinate, in conjunction with the L&D team, the biannual L&D Middle Eastern training trip; organise local logistics for trainers.
• Manage all Trainee training requirements and book accordingly.
• Manage all aspects of the maternity, paternity, parental, relocation and unpaid leave processes.
• Co-ordinate leaver process. Manage exit interviews and forward results to HR Advisor.
• Manage all health care enrolments for new joiners and queries for both Riyadh and Dubai employees.
• Assist with the appraisal and moderation process by chasing completion rates, drawing reports and socialising with HR Head
• Produce payroll memo monthly for payroll sign-off and input
• Ensure all employment recharge of costs are correctly allocated and managed through the payroll
• Ensure reports are run for annual healthcare and life assurance renewal process

Requirements

Qualifications:
• Degree educated ideally with CIPD.
• Must have experience in UAE and KSA employment laws and application.
• Previous experience of HR within a professional services organisation at assistant level.
• Excellent English communication skills required to deal with external and internal clients at all levels.
• High level of HRIS and Excel skills.
• Experience of providing advice and guidance to Managers and employees on any employee relations issues, policies and procedures.
• Relationship building with partners/managers within the firm is essential.
• Ability to quickly and calmly think through and suggest appropriate solutions to issues/problems as they arise or are foreseen.
• Experience of interviewing business services staff.
