Employment: Full Time

The purpose of this position is to support the administrative requirements of the office of the CAA Undersecretary for Safety and Security and to maintain and support Serco staff employed in that department

Structure and reporting relationship:
Reports to Serco General Manager and Undersecretary Safety and Security BCAA

Key accountabilities

Daily tasks:
• General Administration.
• Maintenance of accurate filing system.
• All computer related jobs like preparing formats, scanning, statements, data-entry, general correspondence, and e-mails.
• Answer and direct calls for Undersecretary, take messages and deal with as appropriate
• Attend to all correspondence as directed by the Undersecretary
• Administrative support to Serco GM with staff related requirements.

Administrative Duties:
• Responsible for providing administrative and clerical support to the Undersecretary, including diary management, official letters, emails, reports, minutes of meetings and maintenance of action registers.
• Support, if required, ongoing projects in the Directorate with filing documentation etc.
• Update and follow – up Aviation Security Work Plan Activity, Safety Monthly Report, Aeronautical Monthly Licensing Report, ALD documentation review.
• Update the incoming and outgoing correspondence log sheet regularly to flag important/urgent issues which need immediate action.
• Check supply inventory bi-weekly and re-order as needed to avoid shortages.
• Support safety Directorate/team in drafting, formatting and circulation of letters, circulars, ANTR’s, NOTAMs, and Directives.
• Assist in preparing draft and proof read the technical documents and publishing.

Flexibility and Changes:
It is a condition of employment that all employees undertake any task, within any department or area, that they are directed to perform which is relevant to carrying out the business of Serco Bahrain and is within the competence and ability of the employee. This job specification may need to be changed according to the office requirements.

HSQE Responsibilities and Information Security Responsibilities
• Awareness of the Integrated Management System and the content of the Environment, Quality, Health & Safety and Information Security
• Policy Statements;
• Understanding of personal responsibilities and contribution to achieving compliance with the Integrated Management System requirements,(including but not limited to competence to perform safety critical roles, legal requirements, control measures arisen from environmental impacts and aspects, job safety analysis and information security risk assessment) and the potential consequences of departure from the arrangements in place to deliver the commitments stated in the policies statements above;
• To exercise their personal duty of care for their own health, safety and welfare and for those affected by the acts or omissions;
• Promote a good HSQE and Information Security culture among their peers, subcontractors and third parties;
• Lead by example and look at ways to conserve energy, water and resources and minimize the generation of waste through personal performance and raise recommendations on how to improve existing processes on this regard within/outside their departments through their Line Manager, Departmental Safety Meetings and any other appropriate available channels;
• Protect information assets and data including both electronic and paper based from all threats whether internal, external, deliberate or accidental
• Promote a good HSQE and Information Security culture among their peers, subcontractors and third parties;
• Ensure compliance with the Serco Management System and all relevant business processes, procedures and work instructions to deliver all work with appropriate quality and governance standards.
• Ensure security and integrity of all data provided including reporting performance, finance and customer information; reference Serco non-disclosure policy.
• To exercise personal duty of care for their own health, safety and welfare and for those affected by their acts or omissions; reference SMS GSOP-HSE1-6 Serco organisational HSE responsibilities.
• Ensure compliance with all training requirements of Serco and ensure adherence to these requirements at all times whilst in employment.
• Report any accidents, incidents, breaches or potential breaches to appropriate management or the speak up process


Requirements

• Higher Secondary or Higher with a minimum of 2 years’ experience in administrative duties is a must (Middle East experience preferable).
• Proficient in Windows Operating System, MS Word, MS Excel, MS Outlook and knowledge of MS Access.
• Solution oriented and servicefocused.
• A dynamic, high energy individual who possess good communication skills and the ability to manage multiple tasks efficiently and work productively in a fast paced, team-oriented environment;
• Strong organizational skills, detail oriented, and the ability to handle multiple priorities
• Ability to maintain confidentiality in handling highly sensitive, confidential and non-routine information
• Team player with strong analytical abilities and will be able to contribute to an active human resources and administration team.
