Looking for someone to Provide confidential secretarial support to the Director, ensuring smooth coordination and effective communication.

Key Duties:
• Manage calendar, meetings, and travel
• Prepare correspondence, reports, and minutes
• Coordinate with internal and external stakeholders
• Maintain files and handle confidential information

Manage the Director's complex calendar, proactively scheduling meetings, and resolving conflicts with precision to optimize time management.
Prepare and edit confidential correspondence, presentations, and reports, ensuring accuracy and adherence to the highest professional standards.
Coordinate extensive travel arrangements, including flights, accommodations, and itineraries, handling all logistics seamlessly.
Act as a primary point of contact, screening calls, managing correspondence, and representing the Director's office with professionalism and discretion.
Organize and prepare materials for board meetings and executive committees, ensuring timely distribution and accurate minutes.
Conduct research, compile data, and prepare briefing documents to support the Director's decision-making processes.
Manage and maintain confidential files and records, ensuring data integrity and compliance with company policies.
Handle expense reports and financial documentation, ensuring accuracy and timely submission.
Oversee office management tasks, including ordering supplies and coordinating maintenance, to ensure a smooth and efficient work environment.
Proactively anticipate the Director's needs, providing support and assistance to facilitate effective leadership and strategic initiatives.

Requirements:

• Prior executive secretarial experience
• Strong communication and MS Office skills
• High level of professionalism and discretion

Candidate must have minimum 5 Years of experience and someone needs to be an excellent typist , organizer (excellent filling reminder process), knowledge of AI and Social Media creator (likes social media makes greeting cards , inputs in Instagram LinkedIn and others)
