Job summary:

The executive assistant provides high-level administrative support to senior executives, ensuring efficient operation of the office. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The executive assistant acts as the primary point of contact between the executive and internal/external stakeholders, managing communications, schedules, and key administrative processes.

Key responsibilities:

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare correspondence, reports, presentations, and other documents on behalf of the executive.
  • Screen and prioritize incoming calls, emails, and requests, ensuring timely and appropriate responses.
  • Coordinate and follow up on meetings, ensuring agendas, materials, and minutes are prepared accurately.
  • Handle confidential information with a high degree of professionalism and integrity.
  • Liaise with internal departments and external partners to support company initiatives and executive needs.
  • Support the preparation and tracking of budgets, expense reports, and procurement requests.
  • Plan and coordinate business trips, including logistics, itineraries, and accommodations.
  • Manage office operations related to the executive’s function, ensuring smooth day-to-day workflow.
  • Assist in organizing corporate events, meetings, and conferences as required.

Requirements

Qualifications:

  • Bachelor’s degree in business administration, management, or a related field.
  • Minimum of 3–5 years of experience as an executive assistant, personal assistant, or similar administrative role.
  • Strong written and verbal communication skills (English proficiency required).
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent time management, organization, and multitasking abilities.
  • Ability to work under pressure and handle competing priorities.
  • High level of professionalism, discretion, and confidentiality.

Preferred skills:

  • Experience supporting C-level executives in a multinational or fast-paced environment.
  • Familiarity with project management tools and CRM systems.
  • Strong problem-solving and decision-making skills.
