Job description / Role

Employment: Full Time

Responsibilities

• Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
• Arrange conferences, meetings, and travel reservations for office personnel
• Complete forms in accordance with company procedures
• Compose, type, and distribute meeting notes, routine correspondence, and reports
• Locate and attach appropriate files to incoming correspondence requiring replies
• Maintain scheduling and event calendars
• Make copies of correspondence and other printed material
• Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters
• Schedule and confirm appointments
• Set up and maintain paper and electronic filing systems for records, correspondence, and other material
• Record staff attendance on a daily basis
• Coordinate conferences and meetings and take meeting minutes.
• Learn to operate new office technologies as they are developed and implemented
• Operate electronic mail systems and coordinate the flow of information both internally and with other organizations
• Maintain an adequate inventory of office supplies
• Operate office equipment such as copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications

Requirements

Qualifications, Experience, and Skills Required to Execute this Role

• University or a Technical Degree in a related field
• Bachelor degree in Business Administration is preferred
• 5+ of experience in a secretarial function on construction sites
• Knowledge of the organization and maintenance of filing systems.
• Knowledge of scheduling and coordinating travel arrangements
• Good organizational skills
• Strong customer service orientation
• Strong attention to details
• Good interpersonal and communication skills
• Proficiency in spoken and written Arabic and English
